Alder Hey Children’s NHS Foundation Trust is a provider of specialist health care and has a presence in community outreach sites and, in collaboration with other providers, our clinicians help deliver care closer to patients’ homes by holding local clinics at locations from Cumbria to Shropshire, in Wales and the Isle of Man. The Trust also provides inpatient care for children with complex mental health needs at our Sunflower House building newly relocated, and opened on the hospital site.

We currently have more than 4,000 staff working across our community and hospital sites. We’re also a teaching and training hospital providing education and training to around 540 medical and over 500 nursing and allied health professional students each year.

The purpose of this post is to provide a comprehensive administrative service within the North West Neonatal ODN, hosted by Alder Hey NHS Foundation Trust.  

Join our growing team at this exciting time as a Programme Administrator, working alongside a team of administrators and project co-ordinators. 

Main duties of the job

The purpose of this post is to provide a comprehensive administrative service with the North West Neonatal Operational Delivery Network.    The post holder’s main duties will include planning, organising, directing and coordinating the administration work of the networkThe programme administrator will be expected to work with the minimum of supervisionHe/she will be able to demonstrate flexibility and use own initiative to carry out duties in such a way as to make a direct and positive contribution to the organisation, thus enabling the Neonatal ODN team to utilise their time in an efficient and effective mannerThe post holder will provide a confident professional service to all network members, It is vital that confidentiality be maintained at all timesThe post holder must adhere to Trust Policies and Procedures at all times.

Detailed job description and main responsibilities

Key Job Specific Responsibilities 

  • COMMUNICATION SKILLS: 

    • Communicate professionally and effectively with network members, the general public and all internal and external agencies both verbally and non-verbally in a timely manner. 

    • Ensure diplomacy, empathy and confidentiality when dealing with distressed patients/parents/carers.   

    • Liaise with clinical and non-clinical staff to resolve any issues that may arise, to the mutual benefit of all concerned. 

     

    ANALYSIS AND JUDGEMENT SKILLS: 

    • Typing of minutes of meetings and general departmental correspondence when required and within locally agreed timescales. 

    • Work flexibly to ensure the needs of the service are met at all times. 

    • Support Clinicians in identifying how data can be captured and managed securely in line with the Information Governance and Data Quality Policies. 

     

    PLANNING AND ORGANISATIONAL SKILLS: 

    • Undertake a key role in ensuring the delivery of a high quality administration support 

    • Co-ordinate investigations and follow up on network actionsEstablish a clear audit trail to ensure actions have been dealt with. 

    • Have a clear understanding of current Government and locally agreed targets, ensuring key performance indicators are achieved by working in conjunction with the clinical and management teams. 

    • Support the day to day organisation of the NWNODN Team by managing diaries, co-ordinating meetings, ensuring appropriate documentation available for meetings/lectures, preparation of documents/presentations, attending meetings to take minutes and typing of agendas/minutes.

Education and Training

Essential criteria
  • BTEC or equivalent level of knowledge on a range of Trust policies and management procedures, requiring experience or ongoing further development/ training, e.g. Team Leading & Management
Desirable criteria
  • Audio typing and word processing skills at 60wpm, Administration or RSA level III qualification or equivalent.

Experience
