Job overview

We have an exciting opportunity for an efficient ward clerk to support in our Community Care Division in Longmoor House site.

The Successful candidate will have good organisation and people skills, be computer literate and have the ability to work with limited supervision. 

The post holder will provide a comprehensive and high quality administrative support service, the successful candidate to be flexible and support across the Longmoor House.

The successful candidate will have the ability to support service users whilst being professional, empathetic and understanding.

The hours are full time 37.5 hours per week, Monday to Friday 7am to 6pm (Flexible time).

Main duties of the job

The purpose of this post is to provide a comprehensive administrative and clerical service to an excellent standard, ensuring a high level of accuracy to the inpatient areas across the Local Services Division.

The post holder is expected to work closely with the teams working with the minimum of supervision to co-ordinate his/her activities to ensure that an efficient service is provided.

The post holder will be expected to work with a flexible approach, maintaining confidentiality at all times when dealing with service user/staff information. The post holder should be able to demonstrate excellent written and verbal skills, strong organisational and time management skills and have a high level of accuracy and attention to detail. 

They will be able to demonstrate flexibility and use own initiative to carry out duties in such a way as to make a direct and positive contribution to the organisation, thus enabling the clinical team to utilise their time in an efficient and effective manner.

It is essential that the post holder exercise initiative commensurate with the role and vital that confidentiality is maintained at all times.

  • Daily retrieval of referrals received, opening, and uploading to EMIS
  • Booking of appointments  
  • Sending appointment letters in a timely manner.
  • Sending text messages for upcoming appointments where applicable
  • Telephone calls to and from service users, stakeholders, and outside agencies.
  • Close working relationship with various internal teams and any other outside agencies.
  • Ensuring all actions against admin role are followed through daily with completion or carry over for further discussion.
  • Daily maintenance of email inbox
  • Responding in a timely manner to requests from Clinical Leads, Operational Managers and Operations Director.
  • Supporting Office Manager and Clinical Team/Clinical Team Leader with required information in relation to the referrals received.
  • Attending any ad-hoc meetings in relation to the team.

Successful applicants will be able to organise their own workload and have excellent interpersonal/customer service skills and a friendly telephone manner. There is a need to be able to work to tight deadlines and withstand the pressure of a busy department and it is essential that you can work on your own initiative.
