Job overview

We are looking to recruit a full time or part time enthusiastic and self-motivated administrator/receptionist to join the Mersey Care Medicines Management Team. The Executive team at Merseycare recognise the value of pharmacy services and have recently invested a significant amount of additional funding to enable the transformation and expansion of dispensary services.    

The medicines management team administrator role is based in one of two dispensaries, located in Maghull Health Park and Hollins Park.

This post will be based at Maghull Health Park but you may occasionally be required to provide cover at Hollins Park. Working hours, base and location of work would be mutually agreed following on appointment in role.

 

Main duties of the job

This role provides an opportunity for you to provide a vital role within our team.

Duties include working in our busy prescription reception areas presenting a positive and friendly image to patients and visitors, assist with the intake and giving out of prescriptions including electronic transactions, answering telephone calls, printing out and responding to emails, filing prescriptions, printing work from our medicines management computer system, requesting new prescriptions from clinical teams and speaking to patients and their carers.

The post-holder will be obliged to participate in our seven day medicines supply service in line with the hours of operation.

Detailed job description and main responsibilities

1. Present a positive and friendly image to dispensary and pharmacy patients, as well as other visitors, handling queries in a professional, courteous, and efficient manner.
2. Assist with the intake and giving out of prescriptions including electronic transactions, as well as support stock control, ordering, and restocking in the dispensary. 
3. Responsible for the booking in and printing of prescriptions and medication requests (emailed requests or EPMA) onto a manual system with the view to moving to an electronic system in the future.
4. Additionally, when needed, the post-holder will help to ensure medication deliveries are available for transport times.
5. Respond to all telephone, e-mail and general enquiries ensuring that appropriate messages are emailed, or action is taken, and referring to the relevant member of the medicine’s management team as necessary.
6. To implement administrative tasks in a thorough, logical and repeatable way.
7. To assist the line manager with administrative processes, providing cross cover and backup for other team members. Leading to the minimisation of overtime, sickness, cost to the Trust and wasting of resources, through operating the required systems. 
8. Produce a wide variety of correspondence, reports, spreadsheets, forms, action plans etc. 
using Microsoft Office Applications along with data input and maintenance of a variety of records.
9. Carry out a range of administrative tasks such as: 
a. Order stationery electronically using NHS Supplies Software, maintaining adequate stock levels.
b. Act as requisitioner on E-procurement software. Receipt goods/ services on the software and process the invoices
c. Deal with telephone enquiries to the department
d. Maintaining Manager’s electronic diaries, arranging meetings, rooms, 
refreshments as necessary
e. Gather Agenda items and prepare papers and agendas for meetings. Attend meetings to take minutes. Transcribe and produce minutes working to set deadlines
f. Receive and distribute incoming mail
g. Filing, photocopying, laminating, sending faxes, preparation of files, scanning etc.
