Job overview

An opportunity has arisen to join the Legal Services Department as a Senior Administrative Support Officer to provide administration support across a range of functions, based in its offices at Ynysmeurig House.

An organised individual is required to support the team with the management of Claims, Inquests and Redress.  The post holder will be will be expected to have a good standard of education and have a sound knowledge of Microsoft Software, word processing, spread sheets, DatixCymru, office and filing systems.

The post holder will also be required to ensure electronic systems are updated as well process requests for information such as medical records and payments.  The role will require the individuals to deal with queries and advise accordingly, escalating any concerns where necessary. 

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

 

Main duties of the job

To support the logging of Claims, Inquests and Redress which reflects patient and carer views, concerns and suggestions regarding the services provided by the Health Board.

Undertake associated clerical duties to support the Legal Services Department’s administration function and provide assistance and advice within the scope of the role to others.

Use Oracle Financial system to raise and receipt orders in accordance with Health Board financial procedures

Send cheques to Legal and Risk Services, using standard letter templates, once received from Finance.

Report any financial concerns to line manager and/or Head of Claims and Inquests

Process and request cheques and BAC payments liaising with the finance department when required.

Assist with records management to ensure that all records related to Claims, Inquests and Redress are managed in accordance with organisation’s policy

Liaise and work alongside office colleagues by providing administrative support.

Type and disseminate letters, memos and documents as directed by senior staff and undertake general administrative duties, g. opening mail, scanning mail to inboxes, answering the telephone and photocopying.
