Job overview

To work within the Children's Centre, Outpatient Department providing reception duties and comprehensive clerical support to the service. 

This is very busy department and the right person must be able to adapt accordingly.  The post holder will be expected to use their own initiative when undertaking duties, however the Clinic Clerk is available if required for support and guidance.

 

Main duties of the job

The Receptionist will be the first point of contact for visitors to department. They will work as part of a busy team providing professional reception duties and comprehensive clerical support to the service, maintaining confidentiality at all times. 

The post holder will perform front of house duties and be expected to liaise in a professional manner with patients, colleagues, members of the public and other agencies involved in patient care as well as undertaking a wide spectrum of duties within the confines of the role.

The post holder will be expected to use their own initiative when undertaking duties, however the Administrator is available if required for support and guidance. 

They will help to achieve the highest standards for patient care, which reflects the quality and standards and mission of the University Health Board, following appropriate systems, procedures, policies and processes.

Qualifications and/or Knowledge

Essential criteria
  • Good standard of General Education to GCSE grade in Maths/English. Knowledge of Administrative and clerical processes and procedures. Training will be provided.
Desirable criteria
  • NVQ/RSA level 2. Qualification in Business Administration/Office Practice or equivalent experience. ECDL (European Computer Driving License) or similar computer qualification. Ability to use Welsh PAS (Myrddin) patient management system. Customer care training

Experience

Essential criteria
  • Experience of working in a busy environment. Previous customer care experience.
Desirable criteria
  • Working with Nursing and Medical Staff. Working with external and multi-disciplinary staff

Skills and Abilities

Essential criteria
  • Organised with time management skills. Ability to work in a very busy environment. Able to work on own initiative and as a team member. Ability to multi-task. Excellent interpersonal and communication skills and ability.
Desirable criteria
  • Ability to speak welsh. Experience of working in a hospital environment.
