The shifts will be Monday to Friday x 4 shifts at 09:00 to17:00 with a 30 minute unpaid lunch break and one day off, or 3 shifts of 09:00 to 17:00 and 2 shorter shifts of 3.75 hours these being either 09:00 - 12:45 or 13:15 to 17:00. Job overview

To contribute to the provision of the health care to patients and relatives by providing a comprehensive and confidential clerical and receptionist support in relation to the Main Outpatient Department.  At all times the appropriate systems, procedures, policies and processes should be followed.

You will be responsible for delivering a high standard of care to our patients whilst ensuring queries are dealt with in a professional manner supporting the work of the department in the provision of an efficient and effective service.

The post holder will work independently, to deliver a comprehensive administrative/support function for the Outpatient Service.

Main duties of the job

  • Provide efficient clerical support for all Outpatient clinics.
  • Provide full Reception Service to Patients, Visitors and Staff.
  • To ensure all patients are registered, recorded as in attendance and outcomed correctly.
  • Maintain effective use of the Electronic Systems used within the Outpatients Department.
  • Input and extract data from the Health Boards Patient Administration System (WPAS) ensuring all personal details are accurate and are amended as necessary.
  • Co-ordinate Outpatients appointments ensuring that the correct methods of booking are followed.
  • Ensure that patients are signposted to correct locations.

The ability to speak Welsh is desirable for this role; Welsh and/or English speakers are equally welcome to apply.

Qualifications and/or Knowledge

Essential criteria
  • Knowledge of administrative systems, admission, patient information systems, hospital departments, clerical/office procedures, data input procedures acquired through on-the-job training.
  • NVQ III or the equivalent level of knowledge, Training or Experience.
  • Computer literate
  • Understanding of office software packages
Desirable criteria
  • NVQ Level 3 Customer Care.

Experience

Essential criteria
  • Experience of working with members of the public.
  • Previous experience in a clerical, administration, reception role
  • Working using own initiative and as part of a team
  • Working to deadlines, being able to determine priorities.
Desirable criteria
  • Previous experience of working within the NHS.
  • Knowledge of the Patient Administration System used in the Health Board.

Aptitude and Abilities

Essential criteria
  • Good communication and interpersonal skills (verbal and written)
  • Excellent customer care skills and the ability to keep calm in stressful situations
  • Ability to use own initiative and to work as part of a team.
  • Accurate data inputting IT skills
Desirable criteria
  • Ability to speak Welsh to Level 3.
  • Trained in WPAS or experience with other patient information systems
