An exciting opportunity has arisen for a part time Ward Clerk to join our  team  within the Division of Surgery.

This is a highly diverse, demanding but rewarding role. The successful candidate will be a confident individual who thrives on challenge and a high workload. You must be organised, have the ability to work under your own initiative and able to prioritise a competing workload.

Applicants must have a flexible approach to working practices to meet the needs of the service and have administrative experience. The post-holder will be required to provide a highly efficient administrative service for the Ward.

Main duties of the job

Summary of post:

  • To provide an administration service to inpatient areas ensuring all patient information regarding admissions and discharges from emergency and elective care pathways are appropriately processed within Trust guidelines.
  • To offer the highest standard of customer care to patients, visitors and other service users, adhering to Departmental guidelines, Standard Operating Procedures and the Trust’s Code of Values & Behaviours.

Detailed job description and main responsibilities

1. To provide the first point of contact for the ward,  for all enquiries received from patients’ relatives/carers, all groups of trust staff and external agencies ensuring the correct management thereof in each particular case. Present a professional, calm and confident manner in line with the Trust’s Values & Behaviours.

2. To provide an administration service to the inpatient area including, but not limited to:

a. Maintaining accurate information and patient demographics within Trust PAS system referencing the Patient Reception Policy.

b. Supporting clinical staff in ensuring the Trust meets accessible information standards for patients with communication difficulties.

c. Ensuring patients’ admission and discharge times are electronically captured.

4. To ensure that all relevant documents, including tests/reports, are correctly inserted in patients’ notes whilst on the ward/department and to ensure all notes are up to date before patients’ departure.

5. To be responsible for checking e-discharge summaries following patients’ discharge/transfer to ensure this has been communicated to relevant departments for follow up procedures or appointments.

6. To record, on a real time basis, admissions, discharges, transfers and details on the Trust’s computer systems e.g. VTE, iPM.

 Any other appropriate duties which may be required to meet the needs of the service.

Education and qualifications

Essential criteria
  • Good level of numeracy and literacy
Desirable criteria
  • NVQ 2 in Customer Care
  • RSA I/II (or equivalent)

Experience and knowledge

Essential criteria
  • 1 year’s clerical/administration experience working as a ward clerk
Desirable criteria
  • Experience of working with the general public in an admin/reception/retail/ hospitality role
  • Experience of working with Clinical Teams

Skills, abilities and competen

Essential criteria
  • Basic knowledge of the Ward Clerk/Receptionist role and ability to demonstrate an interest
  • Basic keyboard/IT skills
