Job overview

The Norfolk & Waveney Specialist Services Care Group are looking to recruit a friendly and experienced part-time Team Administrator to support the Parent and Infant Relationship Service (PAIRS) and the Perinatal Community Mental Health Team. This will be a split role across both teams and would suit somebody who is outgoing and confident, with the organisational skills to manage their own workload to support the needs of the service.

Duties include greeting service users and their families, responding to enquiries over telephone and e-mail, processing referrals, maintaining patient records, generating letters, producing documentation, taking and distributing minutes, and supporting senior management. Each day is different and tasks will vary.

This is a split role, which will entail Clinical Administration tasks and Management Support Administration tasks. 

You will be joining a multi-disciplinary team of skilled professionals aided by a small group of dedicated administrators, in a positive and sociable working environment.

Main duties of the job

You will need to demonstrate exceptional interpersonal skills with a dedication to confidentiality and service user experience. 

Customer service skills and full administration experience will be essential for this role. The post holder will also be expected to attend meetings as required, take minutes to a high standard and follow up on any actions as necessary.

You will be joining a dedicated friendly team.  A working knowledge of Microsoft Office packages, including Word, Excel and Outlook will be essential. Knowledge of the Trust system Lorenzo would be an advantage but is not essential as full training will be provided. Diary management and minute taking skills are also essential.

Qualifications

Essential criteria
  • Word Processing or equivalent secretarial experience at intermediate level.
  • NVQ 3 Business Administration or equivalent or working towards

Experience

Essential criteria
  • Understanding and experience in a full range of secretarial procedures and systems gained through practice at intermediate level.
  • Working under pressure, on own initiative with minimal supervision.
  • Ability to work with senior members of staff across a large organisation

Knowledge

Essential criteria
  • Maintaining administrative / secretarial systems
  • Working knowledge of Microsoft packages or equivalent.
Desirable criteria
  • Lorenzo EPR System knowledge
