Job overview

To provide efficient and effective confidential administrative support to the Specialist Children’s Services team.

The Autism Assessment team provides autism assessments to children and young people age 0-19 across the Harrogate, Hambleton and Richmondshire localities.  The Autism Assessment Teams sits within Specialist Children’s Services: a department providing specialist health services for children age 0-19 of age with mainly physical, communication, learning or developmental difficulties or disabilities affecting their health and well-being.  

Main duties of the job

The post holder is required to liaise with a range of Trust and external partners in the management and delivery of services for children and their families.

The post holder will help maintain efficient, effective relationships between clinical teams, clients and administration services.

The post holder must appreciate the need for complete confidentiality with regard to Data Protection in respect of patient details.

Working for our organisation

The post holder is supported by the Administration Team Lead for Specialist Children’s Services, and will receive regular supervision.  An annual appraisal and 6 monthly reviews will be undertaken.  The post holder will have support from colleagues based at the Child Development Centre and will complete tasks unsupervised on a day-to-day basis, with work allocated within the limits of the job description.  The post holder will be able to consult with senior staff as required.

Detailed job description and main responsibilities

  • Provide administrative support to clinical staff in Specialist Children’s Services (SCS) and at the Child Development Centre (CDC).
  • Responsible for dealing with telephone calls, which may be sensitive in nature, from clients and external agencies and communicating this information to the relevant teams.
  • Typing and proofreading of reports, letters and emails as required.
  • Registration of new patient referrals on SystmOne and maintaining up to date filing systems within CDC.
  • Organise clinics ensuring appointment letters and other correspondence is sent in a timely manner.
  • Manage and collate electronic diary system and accesses electronic diaries for staff.
  • Monitor office stock levels and submit electronic requisitions for office supplies, therapy and clinical equipment.
  • Responsible for administrative tasks, scanning and inputting of data as requested onto electronic systems.
  • Ensure office notice boards are kept up to date.
  • Prepare papers for meetings and take minutes when required.
  • Provide cover for admin staff in other areas of the service if required.
  • Provide sickness and absence relief cover for other clerical staff.
  • Any other duties as required and as appropriate to the grade.

Skills & Experience

Essential criteria
  • • In depth knowledge and experience of Microsoft Office packages
  • • NVQ Level II in Business Administration or equivalent
  • • Good standard of education, including English
  • • Previous office experience
Desirable criteria
  • • SystmOne experience
  • • European Computer Driving License
  • • Previous NHS Administrative experience
  • • Customer care experience
