Job overview
An exciting opportunity has arisen for a post within the Paediatric Outpatients Team at York Hospital. The team provides an essential, high quality, administration support function, relating to paediatric outpatient services. Working as part of a highly effective and professional clerical and administrative team, the role involves support for a wide range of health professionals and patients.
The post holder will be required to book patients into relevant outpatient clinics for initial and follow up appointments, in accordance with the Referral to Treatment Policy. The post involves the use of multiple electronic systems including the electronic booking system – Electronic Referrals Service (eRS), as well as the in-house data base, Core Patient Database (CPD). This will include electronic referrals, telephone queries from patients wanting to book, change or cancel appointments and dealing with patients face to face on our reception desk.
Main duties of the job
The post will provide a varied and interesting workload across these key areas:
- Processing patient information and booking appointments via the eRS system and in-house CPD system.
- Covering the Reception desk and dealing with patients who are attending the Paediatric Outpatient clinics, ensuring our patients experience a consistent, efficient and welcoming approach.
- Receiving telephone enquiries in order to book, cancel or change Paediatric Outpatient appointments.
- Ensuring clinics and rooms are appropriately utilised.
- Supporting the Paediatric Administration Coordinator in existing and future clinic planning.
- Working as part of a team.

Education, Qualifications and Training
Essential criteria
- • GCSE Maths and English at grade C+ or equivalent
- • Good written and spoken English
- • Willingness to work towards Level 3 qualification
Desirable criteria
- • Administrative qualification equivalent to NVQ Level 3 or equivalent experience
Experience and Knowledge Required
Essential criteria
- • Experience of working within a team
- • Understanding of a range of work procedures and processes
- • Experience of working to a high standard in a customer service environment
- • Demonstrable knowledge of secretarial or administration procedures
Desirable criteria
- • Previous administrative experience of at least one year
- • Experience of dealing with confidential information
- • Experience of working in the NHS

You must have appropriate UK professional registration.
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
