Job overview

We are looking for a motivated and proactive individual to join the General Surgery secretarial team at York Teaching Hospital.

This post is perfect for applicants with a background in administration looking to step up into a senior secretarial role within a fast-paced, cutting-edge clinical service. We welcome applicants from all backgrounds, and are committed to providing the training and support required to make the right candidate a success and integrate into our team. 

The role is varied and involves taking a lead in providing  comprehensive secretarial/PA support to our consultants in General Surgery and their teams. The role of medical secretary also requires excellent communication, engaging with our patients and assisting with their queries and concerns, liaising with the wider clinical networks and Multidisciplinary Teams.

Applicants need to be proficient at typing and have a working experience of digital dictation, with recent secretarial/administrative experience. Knowledge of medical vocabulary is an advantage, although not essential. 

Main duties of the job

The main duties will include:

  • Typing of clinic and discharge letters
  • Consultant diary management
  • Maintaining patient information and clinical systems
  • Dealing with correspondence from patients and GP's
  • Ensuring referral to treatment and cancer tracking targets are met
  • Typing of multi-disciplinary team meeting notes

Qualifications

Essential criteria
  • GCSE English Language, Grade C or above (or equivalent)
  • Word processing skills – OCR III (or equivalent e.g. RSA III )
  • Typing skills - OCR III (or equivalent e.g. RSA III)

Experience

Essential criteria
  • Minimum 2 years secretarial/administrative experience
  • Experience of using a variety of IT applications, including Microsoft Office
  • Ability to manage and prioritise conflicting deadlines and pressures
  • Ability to cope with distressing and emotional situations with patients, relatives and staff
Desirable criteria
  • Experience of staff supervision
  • NHS Experience

Skills

Essential criteria
  • Ability to get on well with members of a team
  • Proficient audio typist with the ability to accurately transcribe complex audio tapes and type complicated medical information whilst subject to frequent interruption
  • Excellent organisational skills
