We have an exciting opportunity within our Ophthalmic Department here at York Teaching Hospital for a dynamic forward-thinking person to join our busy Administration Team as a Patient Admin Officer.

About the role…

You will be required to provide a reliable and effective administrative and clerical support service to internal and external users and will communicate daily with colleagues of different professions, clinical and non-clinical.

About you…

The role is diverse, so you will need to be highly motivated, well organised, patient focused individual, able to work as part of a team but also use your own initiative.

You will have excellent communication skills and be effective in working closely with clinical and non-clinical staff.
The successful candidate will also have good organisational skills, the ability to work on their own initiative and prioritise their own workload.

We have both full time and part time hours available working any 5 days in 7 which will include a potential of 1 in 5 rostered weekends, Saturday or Sunday.

Please note this post is cross site between York Hospital and York Community Stadium and the role is not eligible for Tier 2 Sponsorship 

 

 

Main duties of the job

Duties will include:

  • Working on a very busy reception desk.                                                               
  • Administering referrals via the electronic booking system "E-Referrals".
  • Monitoring and maintaining electronic worklists and ensuring that items are actioned in a timely manner, taking remedial action where necessary.
  • Always maintaining patient confidentiality.
  • Answering patient questions/queries both verbally and face to face.
  • Placing all new patient appointments within agreed timescales and in accordance with consultants' requests
  • Making follow-up appointments adhering to booking rules
  • Completing worklists - ensuring all requests by consultants are adhered too.
  •  Checking patients in and out of clinic

Experience

Essential criteria
  • Previous Customer Service and Admin Reception Experience
Desirable criteria
  • Previous experience of NHS outpatients services/customer services

Qualifications:

Essential criteria
  • Must be numerate and literate, GCSE grade C and above or equivalent in English and Maths.
  • Computer literacy skills NVQ 2 or equivalent (or proven working knowledge)
Desirable criteria
  • Educated to ‘A’ Level standard

  • Willingness to undertake further training relevant to position
  • Willing to be flexible and adapt to changing needs of the service
