Job overview

As Receptionist in the Emergency Department, you'll be the first point of contact for patients and visitors, and will take charge of collecting patient information, processing paperwork, whilst providing a friendly and welcoming service to all.

You'll provide administrative support to facilitate the patient's progress through the hospital system and help maintain the most up to date patient records.

As well as general reception duties, the role has many different parts to it and will include supporting clinical members of staff within ED. No two days are the same!

Please note that this position will entail working a variety of shifts which will involve nights, early starts, evening and weekends, so a reliable and flexible approach is required. Flexibility to work additional shifts as and when required would be advantageous.

Main duties of the job

1. To undertake reception duties for the department including accurately booking patients into the electronic system and responding to enquiries ensuring confidentiality is maintained at all times.
2. Adhere to local policies and procedures.
3. Communicate in the appropriate manner with members of the public and staff, taking into account any communication difficulties ie. hard of hearing, non-English speaking Nationals. 
4. Answering telephone enquiries and transferring calls within department or other departments.
5. Maintain the alphabetical filing system.
6. Ensure all patient referrals are processed efficiently
7. Deal tactfully, sensitively and with empathy with all patients and relatives attending the department.
8. Work as part of a team within the Emergency Department.
9. To attend training courses as required by the departmental manager.
10. Use of computer systems where appropriate, including establishing a database, e-mail system,
the Internet and intranet and other office systems.

Detailed job description and main responsibilities

1. To undertake reception duties for the department including accurately booking patients into the electronic system and responding to enquiries ensuring confidentiality is maintained at all times.
2. Adhere to local policies and procedures.
3. Communicate in the appropriate manner with members of the public and staff, taking into account any communication difficulties ie. hard of hearing, non-English speaking Nationals.
4. Answering telephone enquiries and transferring calls within department or other departments.
5. Maintain the alphabetical filing system.
6. Ensure all patient referrals are processed efficiently
7. Deal tactfully, sensitively and with empathy with all patients and relatives attending the department.
8. Work as part of a team within the Emergency Department.
9. To attend training courses as required by the departmental manager.
10. The postholder will be required to book transport home under the direction of the doctor or nurse in charge of the patient or by the nurse-in-charge. The postholder is required to keep the nurse-in-charge informed of all transport booking arrangements made.
11. Use of computer systems where appropriate, including establishing a database, e-mail system, the Internet and intranet and other office systems.
12. Communicate with all levels of hospital staff, outside agencies and members of the public in a professional and effective manner.
13. The post holder will ensure hospital notes are acquired when requested for patients attending ED.
14. To carry out specific clerical and administrative duties as requested by clinical staff and line managers.
15. To assist in the care of clients as requested e.g. escort patients to areas within the dept if appropriate.
16. To follow procedures for the registration of patients.
17. To ensure all patient data items are accurately recorded and updated taking into account national and local minimum data requirements.
18. To operate office and computing equipment, keep it in good order and report faults to appropriate person.
Other duties:
1. Communicate with all levels of hospital staff, outside agencies and members of the public in a professional and effective manner.
2. To carry out specific clerical and administrative duties as requested by clinical staff and line managers.
3. To undertake reception duties ensuring confidentiality is maintained at all times and that local policies and procedures are maintained as regards the release of information to Police and Press in particular.
4. To follow procedures for the registration of new patients following good practice guidelines
5. To ensure all patient data items are accurately recorded and updated taking into account national and local minimum data requirements.
6. To operate office and computing equipment, keep it in good order and report faults to appropriate person.
7. The post holder will be expected to maintain and develop their skills in accordance with the needs of the post and the Directorate.
8. Any other duties that may be necessary within the scope and remit of the grading of the post.
9. Use of computer systems where appropriate, including establishing a database, e-mail system, the Internet and intranet and other office systems

Qualifications

Essential criteria
  • Good standard of education to GCSE level or equivalent including numeracy and literacy skills , including spoken and written English

  • NVQ 2 Business & Administration
