Team Leader/Senior Clinic Coordinator

We are looking for a highly motivated, proactive team player to work within our busy outpatient department to lead a team of administration/reception staff and ensure efficient running of outpatient, diagnostic clinics and waiting list management.

You will be responsible for managing both administration and reception teams within the Cardiology outpatient team, coordinating outpatient clinics and waiting lists; reporting and analysing data for the performance of the service and working closely with the Admin Manager and Assistant Directorate Manager to develop the service.

Excellent organisational and interpersonal skills will be required for this post as you will be expected to communicate well with all levels of staff and the public.

To deal with queries on behalf of the clinical teams whether by telephone, personal contact or correspondence, within agreed limits, and take action where required.

Assist with the effective management of patient pathways, ensuring that all necessary appointments, including outpatient clinics and waiting lists are arranged on time, ensure clinics are utilised to capacity, and that patients receive timely treatment thus meeting national standards when required.

Assist with ensuring relevant databases and patient information systems are up to date.

Ensure all correspondence and documentation is filed promptly and cross reference whenever necessary.

Ensure patient notes are correctly completed with patient details and accurate copies of investigation reports and correspondence are filed in medical records case notes, following laid down guidelines.

Prepare and collate statistical information as required and input to database if appropriate, in conjunction with Trust requirements.

Assist the process of patient tracking, including booking necessary appointments, managing waiting lists and ensuring that patients receive timely treatment up to the point of discharge as required.

Liaise with other hospital departments, GP’s and other health care agencies when required.

Lead a team of administration staff within outpatients to ensure safe and efficient running of clinics, including Appraisals, management issues, Leave & Sickness.

  • Minimum 3 GCSE at Grade C or above, including English and Maths

  • NVQ level 2 in Administration or Business Studies or equivalent qualification

Knowledge and Experience
