A great opportunity has arisen  to join the payroll team for Northampton General Hospital.  

The team comprises of a Payroll Systems Manager, a Payroll Team Leader, 2 Payroll Officers and 2 Payroll Support Officers (one of which is this post).

Payroll sits within the People Division (formally HR) and is based at the main hospital site.  

There is a requirement to work in the office to support the team and to provide face to face & phone customer service to staff who have queries and questions around their pay.

There are lots of strict/tight deadlines to meet, but the whole team work together supporting one another to meet these deadlines .  It is a fast paced environment with lots going on all the time to ensure that staff receive their pay.

This role is to provide direct support to the payroll officers to ensure an efficient and effective service to all customers and clients of the payroll service. Ensure that data is input and maintained to an accurate standard within strict deadlines and promote Payroll as an efficient and customer oriented service.

Swydd ddisgrifiad a phrif gyfrifoldebau manwl

  • To be responsible for supporting the relevant payroll officer in all areas of payroll making use of ESR to amend employee fixed data
  • Learn and develop payroll and pensions knowledge such that all new starter, termination and notification of change forms are effectively recorded within ESR with the desired output.
  • Provide full support to the corresponding payroll officer with all input into all systems used within the payroll department. This is including but not limited to ESR, Assure Expenses, 247 and Patchwork.
  • Input of weekly pay details in conjunction with the other Payroll Support Officers
  • Complete variable data input as required.
  • Complete processes provided by the payroll officer and team leader to ensure accurate data recording is maintained
  • To assist the payroll officer with less complicated calculations in respect of overpayments and payroll adjustments.
  • Use initiative to suggest differing ways of working by raising them to the team leader if beneficial.
  • To be responsible for tracing all documentation received without identification using discretion to which method of communication is most relevant.
  • To respond to face to face, telephone or written requests for earnings details from employees and Trust managers, the post holder would be expected to seek assistance from the relevant Payroll Officer as necessary.
  • To provide written responses to requests for earnings details from mortgage companies, councils, courts, CSA, etc. as required ensuring the employee’s consent is supplied as necessary to ensure compliance with the Data protection act.
  • Organising and preparing confidential tax documentation for distribution along with any ad hoc attachments.
  • To utilise Microsoft office to support day to day operations
  • Be fully conversant in Agenda for Change and Medical and Dental terms and conditions.
  • To ensure that at least 10% of allocated work is checked to ensure accuracy.
  • To be the first point of contact for incoming telephone calls, dealing with the enquiry or forwarding to the relevant person to action, in a customer oriented, timely and accurate manner.
  • To demonstrate own tasks and duties to new/less experienced members of staff.
  • To draw to the appropriate Managers attention any need to depart from Payroll protocols and regulations.
  • To act at all times in accordance with departmental procedures and to comply with Standing Financial Instructions and general rules as issued.
  • To collate information from electronic and manual payroll records as requested and pass to relevant section or department.

Education, Training and Qualifications

  • Minimum of 5 GCSE’s at Grade C or above including English and Maths.
  • NVQ level 2 or equivalent admin/clerical experience
  • ECDL or equivalent computer skills

Knowledge and Experience

  • At least 6 months experience of working in a busy office environment.
  • Input of data into computer systems
  • Previous experience of working in payroll within a large organisation
  • Ability to use Microsoft Office programs including Word, Excel and outlook
  • An awareness of local, national and statutory payroll regulations

  • Working knowledge of ESR (Oracle)
  • Agenda for Change and M&D terms and conditions knowledge
