Job overview

An exciting opportunity has arisen for a Team Administrator to work within the Community Mental Health Teams based at Campbell House. The post hours will be  Monday to Friday 9am-5pm and we are hoping to recruit full or part time staff for these vacancies.

We are seeking  individual who are enthusiastic, compassionate, flexible and creative in their approach and can work alongside nursing staff and the wider multi-disciplinary team to provide quality and effective administrative support.

Main duties of the job

The post holder will provide a comprehensive administrative assistant/secretarial service to support duties associated with the service they are working in. Good organisational ability, strong IT skills (including use of Microsoft packages) and flexibility are required. You will be required to provide minute taking and agenda preparation administrative support.

You will be expected to have excellent communication skills and a calm, positive and helpful attitude as the person dealing with incoming calls from potentially distressed service users or carers.

You must be reliable and flexible to meet service needs, and used to working in busy environment.

You will be part of a supportive team, in a valued role.

Detailed job description and main responsibilities

KEY RESPONSIBILITIES:

  • To provide comprehensive administration support to the Team members  using IT systems effectively, including Internet/Intranet, Email, Windows, Excel, and System one
  • To receive incoming telephone calls, and deal with queries where possible /or take accurate messages and direct to the appropriate recipient
  • To deal with all incoming correspondence including the generation of replies on own initiative
  • To generate a range of documentation including letters and reports to a professional standard. This may include the composition of letters to GPs/consultants and other professionals on behalf of the team the contents of which may include updates / discharge information / medication change requests / Easy read and any other information relating to patient care
  • Assist with producing correspondence, reports and proposals all of which requires maintaining excellent communication links with colleagues within the Service to ensure reliable and efficient dissemination of information
  • To provide support and cover for tasks when required and for other Band 2 and Band 3 colleagues within the service.
