Clinical Team Secretary

Band 3

Job overview

We have an exciting opportunity within Nottinghamshire Healthcare Trust for an experienced Secretary/Administrator to come and work for us supporting our Inpatient Consultants within the Adult Mental Health Services Directorate.

We are looking for an enthusiastic individual to join our dynamic and forward-thinking administrative team.  If you hold a typing or Word Processing qualification (or equivalent) and an NVQ level 3 in Business Administration (or relevant experience), are an organised team player with good communication and excellent customer service skills, we would love you to apply.

You will provide day to day secretarial and administrative support to  the Highbury Inpatient Consultants.

Although these roles are advertised as full-time, job share and/or flexible working will be considered so please do not hesitate to give us a call to discuss this further.

At Nottinghamshire Healthcare we believe in a healthy work life balance and looking after our people, we will empower you to work flexibly, and we promote a hybrid way of working.

Main duties of the job

You will undertake a variety of duties including the management of diary schedules as well as email management, preparing reports, meeting agendas and minutes, ordering of stock, co-ordination of booking courses, accommodation and dealing with travel requests, maintaining employee absence information on the ESR system as well as a range of other administrative duties.

You should have excellent keyboard skills and computer literacy.  Previous experience working in an administrative/secretarial post would be an advantage, you will be given support, supervision, training and the opportunity for personal development.

Working for our organisation

#TeamNottsHC comprises over 11,000 dedicated colleagues who #MakeADifference every day. We deliver intellectual disability, mental health, community health, forensic, and offender healthcare services across Nottinghamshire, Leicestershire, Lincolnshire, and South Yorkshire. Our care is provided from over 200 sites, spanning community locations, acute settings, and secure environments, including prisons.

We are one of the largest mental health and community Trusts in the East Midlands and one of Nottinghamshire's biggest employers. We also host national and regional services, such as the National High Secure Deaf Service and the Nottingham Centre for Transgender Health.

We offer a variety of employee-led staff networks, including Equality, Diversity, and Inclusion (EDI) groups, the Green Champions network, the Freedom to Speak Up network, the Health and Wellbeing Champions network, and the Menopause Champions network. These networks play a vital role in supporting our diverse workforce and promoting a culture of inclusivity.

The health and wellbeing of our colleagues is a top priority. We invest significantly in this through our in-house occupational health and staff counselling services, supported by a dedicated Health and Wellbeing team.

The Trust is committed to reducing its carbon emissions, with a specialised Energy and Environmental team working to ensure compliance with environmental legislation, enhance our environmental performance, and achieve our net-zero commitment

Detailed job description and main responsibilities

You will provide an efficient secretarial and administrative service within Adult Mental Health services as outlined in the job description.  The ideal candidate will have experience of working in a fast-paced administration environment and will be excellent at coordinating a variety of ongoing tasks to support our services.  You will act on your own initiative and need minimal supervision.

The full job description provides an overview of the key tasks and responsibilities of the role and the person specification outlines the qualifications, skills, experience and knowledge required.

Please note that this post may not meet the pay and skill level required for a Skilled worker visa

Successful applicants with no prior NHS experience would normally be placed at the bottom of the band in line with Agenda for Change. This salary is below the minimum salary required for sponsorship for a Skilled Worker / Health & Care visa and also does not appear on the shortage occupation list for healthcare and education. In these circumstances the Trust would not, therefore, be able to sponsor for a Skilled Worker / Health & Care visa.

Applicants requiring a Skilled Worker Visa can determine the likelihood of obtaining a Certificate of Sponsorship against the relevant criteria here https://www.gov.uk/skilled-worker-visa
