Job overview

To provide administrative support to the Clinical Directorate Team ensuring a professional, efficient and confidential service.

 

To be responsible for ensuring telephone calls and other correspondence are dealt with in a timely manner.

To provide an administrative service to the Senior Leadership Team of the Clinical Directorate and a note taking service for multi-disciplinary meetings.

Main duties of the job

  • To operate an efficient diary management service using Microsoft Outlook.
  • To ensure the effective and appropriate management of meetings including diary scheduling, distribution lists and filing of paperwork.
  • To ensure that all paperwork is efficiently and effectively dealt with including operating a ‘bring forward’ system; ensuring all necessary paperwork is available when required.
  • To prepare agendas and distribute papers including printing, collating and copying documents.
  • To be able to take notes of meetings to a high standard and accurately record discussions, decisions and actions from these meetings.
  • To maintain an efficient electronic filing system.
  • To deal with correspondence including emails and dealing with telephone and other enquiries.
  • Organise travel arrangements as required. 
  • To maintain an awareness of ongoing issues in order to be able to chase up actions prior to meetings taking place.
  • Take clear precise telephone messages and resolve queries, as appropriate.
  • To deal with queries from a wide range of organisations and individuals in a professional and sensitive manner, ensuring confidentiality at all times. 
  • Any other reasonable duties allocated by the Change Management Lead within the level of responsibilities and scope of the post as may be required.

Essential criteria
  • Qualifications GCSE level or equivalent in English and Maths grade C or above
  • Competent in Microsoft Office Software
  • Experience of working in an admin/secretarial role
  • Experience in accurate note taking
  • Strong oral and written communication skills
  • Good command of written and verbal English language
Desirable criteria
  • ECDL or equivalent qualification/completed course
  • Microsoft office qualification
  • Experience of working with diverse teams and members of the public
