Job overview

An exciting and rewarding opportunity has arisen to join our specialist Oral and Maxillofacial Department as a full time, permanent Speciality PA. This role is to support our fast paced Head and Neck cancer service.

Working as part of a team the post holder will support the provision of a high quality secretarial and administrative service to Consultants and clinical teams to ensure they are supported to maintain their clinical commitments.  The post holder must exercise initiative to organise their own workload within defined deadlines. 

 The role/duties of the post are outlined below.  In undertaking this role, the employee will be expected to behave at all times that is consistent with and actively supports the Trust values which are listed above.

Main duties of the job

·         Providing a full and thorough administrative service to consultants and patients within the service

·         Being a key point of contact for consultants and wider team

·         Ensure RTT (referral to treatment) and urgent/2WW (two week wait) patient data quality is accurate.

·         Coordinating theatre lists and ensuring patients are listed for surgery in a timely manner, according to waiting lists.

Training and Qualifications

Essential criteria
  • Proficiency with MS Excel, Work and Outlook
  • Educated to GCSE standard (including grades A-C in English and Maths)
Desirable criteria
  • Admin or customer service qualification

Experience

Essential criteria
  • Experience in using Microsoft Office
  • Proven and demonstrable secretarial and/or administrative experience
  • Experience of working within a patient or customer facing environment (telephone and face to face)
Desirable criteria
  • Knowledge and experience of NHS cancer targets
  • Experience of using hospital IT systems (Careflow/Medway, NOTIS)
  • Managing challenging deadlines

Communication and relationship skills

Essential criteria
  • Must be able to clearly and accurately convey information verbally gathered from both verbal and documented reports
  • Must be understanding and helpful
  • Can complete letters, forms, reports & tables using computerised technology from information collected
Desirable criteria
  • Has ability to motivate, coach and mentor others within the team

Analytical and judgement skills

Essential criteria
  • Able to use judgement to make decisions in order to solve problems/enquiries
