Job overview

A new and exciting opportunity to be a part of a wonderful team has arisen at Nottingham University Hospitals. Based at Queens Medical Centre (QMC).

We are looking for a Patient Pathway Administrator (Support Secretary) that will support the administrative team in the  Paediatric Department.

The successful candidate will support the provision of high quality secretarial and administrative services to consultants and clinical teams. 

The new job holder must be able to work on their own initiative and have excellent time management skills to organise their day to day duties effectively. 

Main duties of the job

 Accurately transcribe clinic letters producing a high standard of work to defined deadlines.

 Use judgement and initiative to prioritise the importance/urgency of tasks to defined deadlines.

Support with maintaining admin systems and databases.

Support with patient prescriptions.

Deal with incoming mail, results, reports.

Deal with consultants/clinic queries.

Answer and resolve inbound telephone queries from patients in a confidential manner.

Support with clinic appointments i.e. cancelling/booking and changing appointments.

Person specification

Training and Qualifications

Essential criteria
  • 4 GCSEs or equivalent grade C or above – must include English
  • Computer literate to ECDL standard or equivalent
  • RSA III word processing or equivalent experience
Desirable criteria
  • NVQ level 3 in administration or equivalent

Experience

Essential criteria
  • Proven typing and admin experience
  • Experience in using Microsoft packages especially Word, Excel and Outlook
  • Can complete letters, forms, reports and tables using computerised technology from information collected
Desirable criteria
  • Previous experience of working in the NHS and experience using Webhiss, Careflow and Notis
  • Knowledge of 18 week and cancer targets

Communication and Relationship Skills

Essential criteria
  • Must be able to clearly and accurately convey information verbally gathered from both verbal and documented reports
  • Maintain confidentiality, sensitivity and empathy in communication with patients/clients
  • Excellent verbal and written communication skills

Organisational and Judgement Skills

Essential criteria
  • Demonstrates an ability to organise and prioritise own workload to deliver work within prescribed timelines
  • Able to use judgement to make decisions in order to solve problems/enquiries
  • Manages time effectively and displays initiative.
