Job overview

To provide a reception service at Lings Bar Hospital for patients, visitors, and staff.

To be responsible with other Site Administration Assistants for providing an administration, secretarial, cashier and banking service.

 

Main duties of the job

First point of contact for clinical and administration staff based within Lings Bar Hospital. Shared responsibility for providing secretarial support for Community Dermatology clinic, inpatient clinical team and Operational Services Manager.

To order supplies and sign off invoices to the value of £100

Detailed job description and main responsibilities

Reception

·        To provide a reception service for patients, visitors, and staff

·        To operate the telephone system, dealing with enquiries, taking messages, and ensuring these are passed to appropriate personnel.

·        To receive incoming mail, goods and parcels and ensure distribution.

·        To frank all outgoing mail ready for collection.

·        To maintain room booking diaries.

·        Maintenance and monitoring of the key cupboard.

·        To ensure information on notice boards and leaflets are up to date and displayed in a tidy and orderly fashion within the reception area.

Administrative

·        To check and order stationery and supplies for use within the General Office and ensure correct issue of controlled stationery.

·        To be responsible for ensuring office equipment is maintained.

·        To take responsibility for administrative procedures including Cremation Authorisation forms with regard to deceased patients, liaising with funeral directors, wards, and medical staff.

·        To request and return medical case notes from/to appropriate hospitals.

Secretarial

·        To arrange Dermatology Outpatient clinic sessions and appointments, typing of clinic letters, clinic preparation and file maintenance

·        Provide secretarial support to the Inpatient Clinical Team and Operational Services Manager

·        Any other reasonable duties as requested by the Operational Services Manager or Personal Assistant.

Finance & Banking

·        To receive, maintain, monitor, and bank monies from charitable donations, vending machine sales and dining area*.

·        To issue and account for petty cash expenditure and maintenance of the petty cash float. *

·        To be responsible for checking and safekeeping of patients’ monies and other valuables in the hospital safe in compliance with hospital and Trust procedures.

·        To ensure all items stored in the hospital safe are checked and logged in accordance with hospital and Trust procedures.

·        To be responsible for undertaking administrative duties to ensure monies are banked on a weekly basis* * duties undertaken when providing staff cover.

Please note that this post does not meet the pay level required for a Skilled worker visa.

Successful applicants with no prior NHS experience would normally be placed at the bottom of the band in line with Agenda for Change. This salary is below the minimum salary required for sponsorship for a Skilled Worker / Health & Care visa. In these circumstances the Trust would not, therefore, be able to sponsor for a Skilled Worker / Health & Care visa.

Qualifications

  • GCSE Mathematics & English or equivalent
  • Advanced keyboard skills equivalent to RSA 3 or equivalent experience
  • Knowledge of a full range of Business & Administration procedures acquired through NVQ Level 3 or proven practical experience
