We have an exciting opportunity that has arisen in the Bassetlaw Community Paediatric Nursing, Learning disabilities Nursing and Occupational Therapy team. We are looking for an individual to provide an efficient, effective confidential general administrative service supporting the three teams.

The post holder will be expected to work on their own, using their own initiative within the guidelines set by Nottinghamshire Healthcare NHS Foundation Trust.

The position involves organising schedules, organising meetings, coordinating information and IT systems, organisation and facilitation of clinics, telephone service, databases, referrals, Set up and manage office systems efficiently and effectively.

Please note that this post does not meet the pay level required for a Skilled worker visa.

Successful applicants with no prior NHS experience would normally be placed at the bottom of the band in line with Agenda for Change. This salary is below the minimum salary required for sponsorship for a Skilled Worker / Health & Care visa. In these circumstances the Trust would not, therefore, be able to sponsor for a Skilled Worker / Health & Care visa.

Prif ddyletswyddau'r swydd

Provide an efficient administrative support service to the department.

Be proficient in the use of IT systems including:  Microsoft Office – Excel, Outlook, Word, Database & internal systems including, departmental information systems.

Produce high quality reports within agreed deadlines as required.

To undertake office duties including diary management and message management, opening and distributing mail, operation of brought forward systems, dealing with telephone calls and enquiries, production of documents, typing and audio typing, photocopying, collating of documents and electronic filing as well as general administration support services to the department.

To deal with requests and enquiries and forward them to the relevant team member.

To arrange single and multi-agency meetings, booking venues, preparing agenda/attendance lists.

Take minutes of formal  meetings, type up and distribute within agreed timescales.

Ensure sickness, study and annual leave is recorded on the correct systems.

To have a working knowledge of departmental procedures.

To collect and maintain accurate team information with regards to training undertaken, PAD’s, Clinical Supervision and any other database.

To order equipment, stationery, sundries as required.

To work effectively both independently and as a team member.

To work within all Health & Safety guidelines and policies.

Responsible for own Mandatory Training requirements.

To cover other admin roles within the team as & when required.

  • Input OT referral, assign to caseload and create care plan
  • Send triage clinic appointment letters out
  • Manage therapy room diary and input triage dates for all therapists
  • Update OT folder, with clinic schedules and patient information
  • Liaise with parents to arrange OT triage appointments, document on S1 and add to appointment ledger
  • Attend OT allocation meetings
  • Attend monthly OT meetings, take minutes, distribute and action
    Scanning on to S1
  • Answer phones, take messages - input on S1
  • Manage answerphone/messages left
  • Send tasks on S1 for team, ensuring that queries are answered
  • Manage admin tasks within S1 – groups, calendars, manage task groups, reporting, scanning document types, address book, caseloads
  • Maintain photocopier, scanner.
  • Input SUCE Forms
  • Log Compliments on Ulysses reporting system
  • ESR – enter all team appraisals
  • Organise all practical training with CCN nurses, following completion of theory training with Training team. Track practical training, chase nurses and ensure recorded on S1 and maintain excel spreadsheet. 
  • Enter new referrals on to S1 and log on referral spreadsheet
  • Order stock, for nursing supply cupboard
  • Log cost of nursing orders for child specific budgets/claims to CCG
  • Book in blood clinic appointments
  • Order stationery
  • Manage EHCP requests via the HUB and forward requests out to the team, log on spreadsheet and track/chase as appropriate
  • Manage EHCP annual reviews, forward requests to team, update spreadsheet to track all requests, ensuring that they are done with timescales
  • Arrange and book rooms for clinicians safeguarding supervision.
  • Team meeting – produce agenda, take minutes, produce minutes, complete actions
  • Produce transition to adult report quarterly, arrange transitions pre-meeting and attend meeting and take minutes and input updates on to report.
  • Adapt to transition report to CCG report format
  • Organise PAT testing for office equipment
  • Organise PAT testing for medical equipment and maintain asset register
  • Organise repairs of faulty equipment with Avensys
  • CHC Nurse admin support – meet monthly, highlight impending reports, support nurse with admin and track completions, submit reports to ICB
  • Order PPE.
  • Attend monthly LD allocation meetings – send out letters, discharge as required
  • Send Feedback letters out to encourage feedback for all discharges
  • Manage shared CCN/LD in box – distribute emails and highlight new referrals
  • Combined clinics – ensure team aware to attend where appropriate, task team as necessary
  • Manage LD referrals and opt in responses
  • Admin for LD team – appointment/general/discharge letters, scanning, appointments, telephone calls
  • Create training documents and train staff where required
  • Attend monthly one to ones with Band 4 Admin Lead
  • Attend Admin SPA meetings
  • Attend Nursing Admin team
