Job overview

The Oncology/Haematology department are looking for an enthusiastic and motivated individual to join our administrative team within the Day Treatment Unit (DTU) at the Churchill Hospital, Oxford.  This post would suit someone who particularly enjoys a patient facing role as a key element involves welcoming and dealing with patients visiting the unit to receive their treatment and providing admin support to the clinicians.

Back-office responsibilities include updating the Electronic Patient Record (EPR) ensuring all appointments have been booked.  You will need to possess good communication and interpersonal skills, be proactive and be a good team player.  If you would like to make a positive contribution to a patient’s care experience, then we would like to hear from you.

Main duties of the job

To be a member of the Day Treatment unit (DTU) and provide a comprehensive administrative support to the DTU nurses and service based at the Churchill Hospital and efficiently managing the processes underpinning the service:  management of our databases (EPR, ARIA) chemotherapy delivery across day services, helping with patient queries and booking transport.

Be able to have sensitive and compassionate manner with patients and relatives who are in relative states of emotional distress in view of delicate nature of the disease area.

Detailed job description and main responsibilities

·        Administrative support (DTU)

1.      Use EPR to capture all patient activity on a daily basis within DTU;  this includes being able to complete waiting lists, admissions/discharges, ward attenders and appointments.


2.      Use other software systems such as ARIA to sense-check input of data on EPR.

3.      Have thorough knowledge of 18 weeks Referral to Treatment in relation to patients and how this applies to patients being referred to Oncology/Haematology.

4.      Have thorough knowledge of 18 weeks Referral to Treatment in relation to patients and how this applies to patients being referred to DTU.

5.      Answer the telephone and take messages from patients, relatives, doctors, allied health care professionals etc and deal with any queries as appropriate.

Reception/Ward Clerk Role (DTU and Outpatients)

1.      Be responsible for greeting all new patients, relatives and visitors and direct them to the appropriate member of staff/area while demonstrating excellent communication skills when dealing with patients, relatives and members of the multidisciplinary team utilising sensitivity, empathy and ability to manage conflict.

2.      Answer the telephone courteously and direct enquiries as appropriate.

3.      Liaise with other departments within the hospital to book any requested investigations.

4.      Assist with any transport queries as required; checking the system for the week ahead and updating clinical staff of any patients arriving on hospital transport with special needs.  On a daily basis liaise with ambulance staff as patients arrive regarding return journey and book this when patient is ready to leave.

5.      Be responsible for updating EPR and ARIA.

6.      Assist with resolution for IT queries – equipment or software (e.g. carts)

7.      Provide cover as needed to man outpatients reception, working with the Reception team to ensure all essential duties are undertaken and completed in a timely manner.

  • Good general level of education (e.g., 5 GCSEs/BTEC grade C or above or equivalent)

Experience
