Job overview

We are seeking to appoint a Outpatients Booking Officer to join our OMFS team at the John Radcliffe Hospital. 

We are seeking to appoint a proactive, motivated individual who enjoys working in a busy environment within our friendly team in Oxford.  The post holder will provide an efficient and effective clinical administration service to the department, consultants, nurses and wider clinical team.  They will also attend to patients, colleagues and referrers to the service, promptly and courteously at all times and be a worthy front-line representative of our high quality service. 

Main duties of the job

To attend to patients, colleagues and referrers to the service, both in person and on the telephone, promptly and courteously at all times and be a worthy front-line representative of the high quality service.

To provide an efficient and effective clinical administration service to the department, consultants and designated medical staff. Be first point of contact for the consultants and clinical teams. Coordinate the workflows through the admin team to ensure consistency across the service.

To work within an administrative team dedicated to quality and effective patient care and maintaining Trust policy on patient confidentiality.

To work according to the administrative processes in place to support the delivery of Trust and national targets, especially with regards to the 18-week pathway.

Detailed job description and main responsibilities

1. Ensure accurate and comprehensive patient records and clinical details
including outpatient referrals are added onto EPR in a timely manner, 
according to agreed standards, (the Trusts’ Elective Access Policy and 
Data Quality).
2. Book appointments on EPR as per Trust procedures in line with the 
Trusts Elective Access Policy and ensure all referrals are clinically 
triaged within 48 hours.
3. Ensure that patients on ERS (Electronic Referral System) are given 
appointment dates in accordance with clinical priority and length of 
wait, and that patients on the ASI list are managed accordingly.
4. Ensure that the appropriate action is taken following both patient and 
hospital cancellations, such that the utilisation of elective capacity is 
maximised. 
5. Ensure that the patients’ 18 week RTT pathway is correct on EPR before undertaking any changes. 
6. Proactively monitor all outpatient clinics and highlight any capacity issues or potential Cancer or 18 week breaches, where possible 
prevent these with the support of the Outpatient Booking Team Leader
7. Be responsible for manging designated patient tracking lists (PTL) and 
attend weekly PTL meetings with the management teams.
8. To ensure all clinician annual leave and changes in outpatient sessions 
are accurately recorded on the electronic patient record (EPR) and that 
the affected outpatient sessions are proactively maintained such that 
maximum waiting times are met and capacity is fully utilised. As such 
the post holder will liaise closely with clinicians, managers, nursing and administrative staff.
9. Take a lead to resolve clinic cancellation issues by communicating with 
colleagues and arranging cover or alternative clinics where required.
10.The post holder is expected to develop an understanding of the Trust 
Elective Access Policy and related procedures, and to make a positive 
contribution to the ongoing development of elective administration processes.

11. To provide guidance and supervision of the Band 2/3 Link Grade Outpatient Booking Clerks.

Essential

Essential criteria
  • GCSE or equivalent in English and Maths, grades A-C
  • Good knowledge of patient pathways/ understanding of patient priorities and performance targets
  • Experience of using a full range of IT systems including; Microsoft Office: Outlook, Word, Excel
  • Maintains high standards and quality of work
  • Organising, planning and prioritising skills
  • Accurate data entry, typing and checking skills
Desirable criteria
  • Thorough knowledge of healthcare administrative systems and processes
  • EPR Experience
  • In-depth understanding of Medical Terminology
