Administration Team Lead Immunisation & Vaccination

Job overview

An exciting opportunity has arisen for an enthusiastic individual to join our team to undertake the role of Team Leader within the Immunisation and Vaccination Booking hub. The post holder will operate in a fast-paced environment that is often unpredictable and will require excellent communication skills.

The post holder will be responsible for the day-to-day supervision of administrative staff providing leadership, support and advice in the booking hub team, support the Senior Administrator, Business support Managers and other senior staff within the immunisation and vaccination service.

The post holder will be responsible for assisting the Senior Administrator
maintaining and delivering an effective administration function for the 
Immunisation and Vaccination service. 
Within the role, the post holder will be responsible for;

• Supervision of the Immunisation and Vaccination Booking and Data Team.

• Deal with general routine enquiries and offering support to the 
Administration Team throughout the shift.

• Co-ordinating  administration function in the Centres.

• Work with electronic systems which will require a high level of 
confidentiality.

• Referring issues and enquires to the Senior Administrator/ Senior Business Support Manager and/or Clinical Lead for advice.

• Allocating routine daily tasks to the Administration Team.

• Provide support and cross cover within the department.

Main duties of the job

Be the first point of contact for the Administrators dealing with queries from Vaccination Centres.

Resolve and answer general routine operational questions and problems offering support and guidance. 
 
Assist the Business Support Manager in ensuring that the departmental 
Standard Operating Procedures are adhered to. 
 
Liaise with the Business Support Manager and Clinical Lead to flag any nonroutine issues and to seek advice and permission to act if applicable. 
 
Communicate with service users daily including management and staff of PTHB along with patients and the public. This spoken communication will be to the highest professional standard and in line with the Health Board’s Values.

Required to circulate team communications by email and memo and take notes from team meetings, circulating minutes and actions as instructed by the Business Manager.

Prepare agendas for meetings and book meeting rooms and venues as and when required.

Complete Health & Safety (i.e., Risk Assessment) & Fire Safety checks (Fire Management Folder) in the absence of the Business Support Manager. 
 
Produce and implement ‘how to’ guides for staff where it is identified that further refresher training is required. 
 
Assist in the creation of new working templates and forms for the department and produce written and typed reports and documents ad hoc as requested.

Undertake relevant line manager training such as effective appraisal and 
managing attendance to develop leadership skills.

Qualifications and/or Knowledge

Essential criteria
  • NVQ level 3 or equivalent level of experience
  • Advanced Keyboard Skills (e.g. RSA level III)
Desirable criteria
  • ECDL or equivalent
  • Bronze IQT

Experience

  • Experience of relevant practical administrative work, including arranging meetings, handling telephone enquiries, and establishing and maintaining administrative systems
  • Experience of dealing with confidential and sensitive data and appropriate maintenance and storage of records
  • Ability to produce reports, spreadsheets and correspondence
  • Minute taking and recording
  • Experience of working autonomously
  • Working knowledge of MS Office Suite
  • Awareness of policies and procedures relating to dealing with confidential data both personal and organisational
