Our Team have an exciting opportunity for an individual  to join the Pharmacy Homecare Service as a Pharmacy Administrator.

Further to new investment in the Pharmacy Service at Robert Jones and Agnes Hunt Orthopaedic Hospital we are looking for an Administrator to work alongside the Senior Pharmacy Technician and Pharmacist for Homecare and High-cost drugs in leading the Pharmacy Homecare Service and managing high-cost drugs.

Main duties of the job

 The Trust has an excellent reputation for delivering Rheumatology and Metabolic Bone Services to the whole of Shropshire and neighbouring counties in England and Wales and the Pharmacy Homecare Service supports these patients in delivering cutting edge medicines to over 2,300 patients. This demand is growing as new therapies and NICE guidance become available.  

You must have excellent organisational skills and the desire to provide a high quality, safe, effective and efficient service to our patients. You must be able to work under pressure, prioritise work and be able to work alone as well as part of a team. You will also supervise and manage other members of the team. The role ensures that RJAH homecare services are of a consistently high quality and in line with the Royal Pharmaceutical Society Homecare Standards and local policy and procedures.

Detailed job description and main responsibilities

  • Supporting the pharmacy homecare team with any clerical and administrative tasks.
  • Ensuring invoices relating to the Homecare services are processed in a timely manner in accordance with pharmacy Standard operating procedures and suppliers’ terms and conditions.
  • Investigate routine queries, aid and advice as necessary to homecare companies, patients and Trust staff.  Referring all complex queries to senior colleagues.
  • Request repeat prescriptions for homecare medicines by communicating with other departments within the trust by phone or e-mail.
  • Maintain records either manual or computerised in a clearly defined filing system, which allows easy access for other users.
  • To assist with Lead Homecare Technicians duties during absences.
  • To undertake any other duties within reason as requested by Pharmacy homecare technician or Homecare Pharmacist.
  • Ensure prompt and accurate payment of invoices as needed, escalating discrepancies where appropriate.

GENERAL
1. Complying with all Trust and departmental policies and standard operating procedures on a daily basis.

2. Participating in audits and project work as required by medical, nursing and pharmacy staff.

3. Be committed to maintaining a high-quality service to patients.

4. Being able to deal with distressed patients and carers and being sensitive to their needs.

5. Accurately input data into the pharmacy computer system, ensuring own computer transactions are performed accurately, maintaining stock levels and quality of data.

 

Person specification

Education and Qualifications

Essential criteria
  • GCSE English grade C / level 4 or above
  • GCSE Mathematics Grade C / level 4 or above
Desirable criteria
  • NVQ Level 2 or above in pharmaceutical sciences, finance or business

Experience

Essential criteria
  • Customer Care experience
  • At least one year's experience in an administrative role.
Desirable criteria
  • Previous NHS experience
  • Previous Pharmacy experience
  • Previous experience of working with finance/procurement systems

Skills, Ability and Knowledge

Essential criteria
  • Good verbal and written communication skills
  • Excellent written and verbal communication skills using plain English
  • The ability to listen effectively and to provide clear, concise, accurate information
  • The ability to prioritise workload when working under pressure and using own initiative.
  • Maintain confidentiality of information at all times
  • The ability to recognise professional and personal limitations referring to appropriate person when necessary
  • The ability to be flexible and adaptable to the service needs
Desirable criteria
  • Previous experience working with customers Hospital environment
  • Knowledge of prescribing and dispensing processes in the hospital settings
  • Knowledge of pharmacy computer systems including procurement systems
