Job overview

 This role is key in providing secretarial and administrative support to our 8 Consultant Histopathologists and Senior Laboratory staff.

The department reports surgical histology cases, cytology samples, supports 33 clinicopathological meetings per month, providing a cellular pathology service to hospital clinicians and GPs in BaNES, Wiltshire and Somerset.

This role can be challenging whilst at the same time being very interesting and rewarding.  We are a very close knit team who are extremely supportive of each other, understand the pressures that each of us face and work together to provide the best possible experience for our patients and staff. This role would be perfect for a medical secretary looking for career progression and who is keen to learn whilst being fully supported through our in-house training programme.

We are looking for somebody who has great organisational skills and who has the ability to communicate effectively. You will need possess accurate audio-typing skills and preferably have a knowledge of medical terminology. Somebody who has great IT skills, the ability to pick up new applications with ease and who has the desire to learn and understand the different systems used within Pathology. Somebody who has demonstrable experience of being able to meet tight and varying deadlines, and finally somebody who is passionate about working in the NHS and who really wants to make a difference with the service we provide.

 

 

Main duties of the job

Working as part of a team of medical secretaries and administrative staff, the responsibilities of our Senior Medical and MDT Secretary role are varied and would include:

  • audio-typing of histopathology and cytopathology reports using the Winscribe digital dictation system and the pathology computer system (Ultra)
  • responsible with four other secretaries for the preparation of case lists for 33 multi-disciplinary team meetings each month. These include MDT meetings where the patients are directly identified and a case list is compiled by the department. 
  • support with the coordination and managing of histopathology cases for Multidisciplinary Team Meetings (MDT) to ensure that patients are actively managed through their journey by ensuring that they are listed and roll-over cases are actioned.
  • other administrative duties that contribute to the delivery of a full histopathology service including answering telephone and email queries
  • typing external supplementary reports
  • secretarial support for eight Consultant Histopathologists, one Specialist Registrar, the Laboratory Manager and Senior Laboratory Staff.

Qualifications

Essential criteria
  • GCSE Grade C English Language and Mathematics or equivalent
  • NVQ Level 3
  • Word-processing/Typing-RSA Level II or equivalent in typing and audiotyping or equivalent secretarial qualification

Experience

Essential criteria
  • Previous secretarial experience within an acute health care setting as a medical secretary or equivalent.
  • Recent experience of working within an office environment
Desirable criteria
  • Previous experience of Histopathology
  • Previous experience of training staff on computer packages

Knowledge

Essential criteria
  • Excellent knowledge of computerised databases and Microscoft Office
  • Experience of inputting accurate and timely data into computer systems
  • Detailed knowledge of medical terminology
  • Clear knowledge and understanding of the function of multidisciplinary team working practices to help teams work collaboratively
Desirable criteria
  • Understanding of histopathology terminology

Skills

Essential criteria
  • Excellent audiotyping and touch typing skills and with a high speed of typing and a high standard of accuracy.
  • Excellent communication skills both verbal and written
  • Excellent organisational skills to co-ordinate weekly meetings and manage data collection through crystal reports
  • Ability to work under pressure and meet tight weekly deadlines
Desirable criteria
  • Knowledge of hospital patient administration systems and pathology databases
