Job overview

We have an exciting opportunity for an administrator to join our dynamic and fast paced Acute Oncology Service within the Oncology Outpatient department. There is scope for the contracted hours to be flexible to the needs of the applicant, worked over the course of Monday-Friday during day time hours only.

The post will involve taking a lead role in attending the 24-Hour Oncology Helpline, where the administrator will provide a first point of contact for Oncology patients, carers, relatives and other health professionals, whilst also providing administrative support, like appointment booking, checking in and checking out the patients, scanning and other administrative support to the service. 

This role will be closely supported by a team of highly skilled Medical Nurse Practitioners and other medical clinicians and provides an excellent opportunity for personal progression, learning and development within the role.

The successful applicant will need to demonstrate excellent inter-personal, communication, organisational and management skills with a drive to promote a high standard of care for our oncology patients. We are a forward thinking department and actively encourage ongoing staff and service development. You must have a compassionate and caring attitude with a professional and flexible approach to working. 

Main duties of the job

The Main duties and responsibilities include:

  • To deal calmly and sensitively with a high volume of telephone calls from vulnerable patients who have become unwell due to disease or treatment. This will predominately be via 24-hour helpline and occasionally face-to-face. 

  • Taking personal information calmly and sensitively from patients and relatives and recording accurately.

  • Using own judgement (training will be provided as part of induction) to establish the priority of issues and take action as appropriate.

  • To deal proactively and effectively with a wide range of enquiries from clinicians, nurses and administrative colleagues, escalating to other staff when appropriate.

  • Documenting all telephone conversations with patients in the Electronic Patient Records.

  • Alerting the appropriate members of the nursing and/or medical teams to patient enquiries.

  • to digitally collate AOS patient lists to ensure timely and effective review of patients. 

  • To book/ reschedule patient appointments and/or transport when necessary

  • To coordinate appointments for patients and transport for patients plus liaising with medical, nursing, pharmacy and other admin and clerical staff as necessary.

Essential criteria
  • 5 GCSE’s grade C or above equivalent experience including English and Maths
Desirable criteria
  • European Computer driving license

  • A minimum of 1 year post NVQ level 2 (or equivalent) qualification in administrative/clerical role or office environment.

  • Previous secretarial / clerical experience, working in a health care environment
