Job overview

We are looking for a highly motivated and enthusiastic individual with excellent customer service and communication skills to join our busy and friendly Rheumatology Access Booking and Choice team which is based in the RNHRD and Brownsword Therapies Centre.

You will work closely with the administrative and clinical team, supporting the work of the dept in the provision of an efficient and effective reception and follow up booking service.

Prospective candidates should possess a proffessional attitude to their work and have the ability to work flexibly in a busy environment.

Main duties of the job

  1. To receive patients and relatives at reception in a friendly and courteous manner.
  2. To answer all telephone enquiries, taking and relaying messages in a polite and helpful manner, taking action as appropriate.
  3. To maintain patient details / appointments accurately on the patient administration system and add patients to follow up waiting list. This will include the registration of patient referral letters and statusing of clinics.
  4. To book follow up outpatient appointments and ensure that all patients are advised of their appointments with reasonable notice.
  5. To cancel and rebook follow up patients as needed.
  6. To monitor and action the department’s generic email inbox.
  7. To book interpreters as and when required.
  8. To liaise with nurses, doctors, GP’s and other members of the department to provide a quality service for patients.
  9. Be aware of and adhere to national waiting time’s targets when scheduling patient appointments.
  10. To carry out other clerical duties as required, this will include opening and sorting of post.
  11. To signpost patients to PALS and the Trust’s Complaints procedure when necessary.
  12. To deal with enquiries regarding outpatient appointments from patients, staff and GP surgeries.
  13. To provide administrative support for the department as required and undertake any additional duties as requested by senior management.
  14. Participate in mandatory training and induction programmes.
