Job overview

To assist the Medical Secretarial Service including scanning, filing, audio typing photocopying, proofreading and the composition of letters. To provide a fast and accurate copy and audio typing service to the Department, producing clinic letters and other documents.  To provide cover for the Reception Team as needed to cover sickness, holidays and breaks as necessary.

Main duties of the job

1.    To assist the Medical Secretarial Service including scanning, filing, audio typing, photocopying, proofreading and the composition of letters. To provide a fast and accurate copy and audio typing service to the Department, producing clinic letters and other documents.

2.    To provide cover for the Reception Team as needed to cover sickness, holidays and breaks as necessary.

3.    To liaise with Nurses, Doctors and other members of the Multi-Disciplinary Team to provide a quality service for the patients.

4.    To accurately scan referrals and documents into the Patient Administration System

5.    To work as part of a Team sharing responsibility for the smooth running of the office.

6.    To occasionally answer telephone queries, taking and relaying messages in a polite and helpful manner, and using own judgement to establish the priority of issues and taking action as appropriate. 

7.    To develop and maintain computerised and manual filing systems and to do other filing as necessary.

8.    To make best use of information technology and to be involved with the changing technology as this becomes available.

9.    To maintain an efficient system for the tracing of health records.

10.  To provide audio/clerical cover across the Division as directed.

11.  To be flexible to the needs of the Division and Trust.

12.  To maintain a tidy office area.
