Job overview

An exciting opportunity has arisen to join the Neurodevelopmental team, within the Medicine care group at Sheffield Children’s NHS Foundation Trust.

You will support the admin team by providing an efficient and effective clerical support service within the Neurodevelopmental team.  

 

Main duties of the job

To provide an efficient and effective clerical admin support service within the Neurodevelopmental Team. 

The post holder will ensure information is accurately recorded onto various patient administration systems and provide general admin support.

Detailed job description and main responsibilities

  1. To support the maintenance of various patient systems on recording and tracking of up to date information relating to patient pathways and including referrals.
  2. Monitor and follow up outstanding information from families and schools.
  • Request all associated supporting documents
  • Responsibility for chasing supporting documents.
  1. Maintenance of departmental databases and spreadsheets
  2. Use of patient administration systems to check and update patient information
  3. Ongoing liaison with families and schools regarding referral process and obtaining questionnaires.
  4. Establishing good levels of communication
  5. General office and admin duties.
  6. Ensure that policies, protocols and procedures for the work of the department are followed

Ensure that the Trust’s Code of Practice for Safeguarding Patient Information is adhered to at all times.

Person specification

Qualifications and Training

Essential criteria
  • 4 GCSE’s Grade C or above, including English
  • NVQ Level 3, A-Levels or equivalent acquired through experience

Experience

Essential criteria
  • Working with confidential material
  • Working in a customer-focused environment
  • Experience of working with different computer software e.g. email, internet etc
Desirable criteria
  • NHS/medical secretarial experience
  • Experience with NHS software systems
  • Working in a multi-disciplinary team

Knowledge and Skills

Essential criteria
  • Good time management skills with the ability to prioritise work according to deadlines.
  • Able to work as part of a team and under own initiative
  • Good verbal and written communication skills with team / clients/ relatives using tact when required.
  • Understanding of Caldicott/Data Protection Act
  • High standard of accuracy
  • Ability to establish and maintain effective working relationships
  • Ability to deal with conflict
