An exciting opportunity has arisen for a Personal Assistant to join our team.

We are looking for a dynamic, hardworking and enthusiastic individual to act as a Personal Assistant to the South Yorkshire and Bassetlaw Pathology Manager and Leadership team.

Providing confidential and comprehensive support to the Pathology Manager and other members of the leadership team you will be the first point of contact, co-ordinating queries and responses to ensure that enquiries are dealt with in a timely, efficient and professional manner.

You will understand the roles of the  leadership team and be politically sensitive to discussions having a good basic knowledge of the issues under discussion, preparing notes/agendas and taking minutes for key meetings. Coordinating realistic diaries that combine availability for key meetings with sufficient time for travel, preparation and the delivery of key pieces of work.

Within this role, SYB Pathology supports flexible patterns of work including working flexibly within the departments core hours and offering the differing locations of SYBP, hybrid working, fulfilling duties both on and off site. If you have excellent written and verbal communication skills, as well as excellent time management and organisational skills we want to hear from you.

 

Main duties of the job

  • Manage e-mail inboxes as directed, highlighting key issues in a timely manner.
  • Receive, screen and make telephone calls, including dealing with general enquiries from outside sources, resolving enquiries when possible, taking messages or redirecting calls as appropriate and ensuring that adequate and timely action is taken.
  • Deal with sensitive and confidential business on behalf of the leadership team and take action as appropriate.
  • Keep up to date all annual leave, sickness, study leave and training records on the training and leave, ESR and PALMS systems and highlight problems, organising Occupational Health referrals if appropriate.
  • To attend, minute and provide organisational support to a variety of virtual and face-to-face meetings, including those chaired by the leadership team, and those which require an enhanced level of confidentiality and sensitivity, be responsible for the distribution of agenda and supporting papers Organise virtual and face-to-face meetings, interviews, training days, staff engagement events and conferences. This will include coordinating venues, equipment, materials, refreshments, booking places using Eventbrite, liaising with delegates and speakers, keeping attendance records, and taking notes on the day.

Qualifications

Essential criteria
  • Educated to GCSE grade C/4 or above in English and Maths.
  • NVQ Level III or equivalent qualification.

Skills and Knowledge

Essential criteria
  • Excellent verbal communication skills in virtual, telephone, and face-to-face contexts, and with colleagues of all backgrounds
  • Excellent written communication skills, with the ability to present written information in a clear manner, demonstrating attention to detail.
  • Excellent organisational skills and the ability to multitask and prioritise workload to meet deadlines
  • Experience of handling confidential information in a discreet manner
  • Able to present a professional image and build relationships with a range of professionals.
  • Must be able to travel efficiently between sites across the network.

Experience

Essential criteria
  • Relevant PA and secretarial experience
  • Experience of working with multidisciplinary teams
  • Experience of Microsoft office packages especially Word, Excel and PowerPoint.
  • Experience of managing meetings and diary bookings.
Desirable criteria
  • Experience of audio typing and real time minute taking.
  • Knowledge and understanding of clerical procedures within a large organisation
