Job overview

Working with Consultants, Technicians and the Admin/Secretarial Team to provide administration support to ensure bookings of In and Outpatient Activity is recorded correctly and in a timely manner.

 

Main duties of the job

Booking In and Outpatient Appointments. Sending invites to patients, booking appointments and ensuring information leaflets are sent as needed. Answering phone calls from patients when booking appointments.

Managing Outcomes for clinic attendances using the Trust EPR system.

Keeping Departmental Databases Up to Date and EPR systems managed daily.

Working with Consultants and Technicians to ensure waiting lists/ diaries are managed to ensure appointments are booked and capacity is managed. 

Working with the admin team and providing cover when needed for reception.

Supporting secretarial team if help is needed for audio typing.

Working for our organisation

Working with a team of team within the Neurophysiology Dept, including Consultants, Technicians, Nursing Support Staff as well the immediate Admin/Clerical Secretarial Team.

Providing a front facing service to patients as well as dealing with telephone communications.

Essential criteria
  • GCSE English and Maths
Desirable criteria
  • Audio Typing

Experience

Essential criteria
  • Working with general public
  • Working Knowledge of Microsoft Office Applications
  • 12 months office experience
Desirable criteria
  • Experience in audio typing medical documents and reports.
  • Experience in working with and managing waiting lists within a service
  • Previous NHS experience within office enviroment
  • Previous experience with Trust Data Systems and EPR systems
  • Experience of filing systems

Skills & Knowledge

Essential criteria
  • Ability to prioritise workload and meet specific deadlines
  • Clear understanding of patient confidentiality & data protection
Desirable criteria
  • Knowledge of Referral to Treatment pathways ( RTT) and referral management
