Job overview

We currently have a 3-month secondment opportunity for an Admin Coordinator:

  • To undertake general administrative duties across all teams, providing line management to Administrators and Receptionists. 
  • To oversee the day to day running of the team.
  • To attend meetings and complete minutes and associated documentation. Provide training to administrators and receptionists.
  • To complete administrative tasks associated with HR, finance and recruitment.
  • To support the Admin Team Lead in implementing operational initiatives.
  • Undertake any other duties considered reasonable and connected with the post.

Main duties of the job

Managerial

  • Participating in recruitment.
  • Managing absence.
  • To support the Admin Team Lead in planning and organising for the efficient running of the service.
  • To provide day to day guidance and mentoring to colleagues in the Admin Team to promote wellbeing. 
  • To complete annual Performance & Development Conversations and interim reviews.
  • Promote and maintain links with other staff within the service to help co-ordinate the provision of an effective NHS Talking Therapies Service.
  • Provide and document individual monthly Line Management and performance meetings with admin staff members.

Training and supervision

  • To offer refresher training to administrators and induction for new members of the administration team.
  • To offer mentoring to other Staff, trainees and volunteers.
  • Provide appropriate line management supervision to administration staff.

Detailed job description and main responsibilities

Professional

  • To adhere to number of required line managed staff in line with team structure.
  • To monitor the training/supervision needs of the post, maintain personal training and continue professional development.
  • To liaise regularly and work together with GPs, other NHS professionals, and colleagues in Psychological Therapies to deliver the local service.
  • Attend team and service meetings as required and collaborate with colleagues in achieving team and service objectives.
  • To be aware of and comply with, the policies, procedures and service standards of the Trust.
  • To participate in any other activities as agreed with the Admin Team Lead.
  • Ensure that staff and client confidentiality is protected at all times and that all staff are Information Governance trained.
  • Attend line management on a regular basis as agreed with the Admin Team Lead.
  • Participate in individual performance review and respond to agreed objectives.
  • Participate in service improvement by highlighting issues and assisting to implementing changes.

Experience

Essential criteria
  • Significant administrative experience including provision of administration support
  • Experience of producing agendas, minutes and papers for meetings
  • Ability to prioritise workload in order to meet conflicting deadlines

Knowledgge and Skills

Essential criteria
  • Knowledge of administrative procedures and systems
  • Effective written and verbal communication skills able to communicate assertively and professionally with colleagues, service users and other stakeholders
