Job overview

The post holder’s main duties will be to provide administrative support to the Directorate of Estates and Facilities management team covering a wide range of services.

The post holder will be expected to work as part of the wider Administration Team including helpdesk and reception, providing an integrated and flexible service. As such they will be required to undertake duties within other areas of the Administration Department when the needs of the service demand it.

Main duties of the job

  • Provide confidential and efficient word processing service
  • Type letters, reports and memo’s from written transcription
  • Open, sort and distribute post following local process
  • Maintain the diaries and arrange meetings for the Facilities and Estates Management Team, as required
  • Arrange meetings, book venues, order refreshments, receive visitors as required
  • Efficiently provide agendas, minutes and supporting papers within required time limits for
    meetings
  • Attend meetings to take minutes / updating action plans on a frequent basis and take
    follow up action as required
  • Assist with Room Bookings enquiries using internal system
  • Prioritise own workload and meet deadlines in order to meet the requirements of the
    post
  • Able to work on own initiative without routine supervision

QUALIFICATIONS & TRAINING

Essential criteria
  • Possess relevant qualification i.e. NVQ Level 3, City and Guilds Certificate or RSAIII in discipline or be able to demonstrate proven practical knowledge through experience
  • Experience of working in a similar role or discipline
  • Possess a recognised typing qualification i.e. RSA III or equivalent

EXPERIENCE

Essential criteria
  • Experience of liaising with customers and clients by telephone
Desirable criteria
  • Experience of using in-house information systems
  • Experience of working in the NHS

SKILLS, KNOWLEDGE & ABILITIES

Essential criteria
  • Ability to work on a diverse range of duties and tasks in a busy and challenging office environment
  • Computer literate and proficient in the use of computer packages
  • Knowledge of office procedures
  • Maintain accurate, accessible records both hard copies and computer based
Desirable criteria
  • Ability to present concise and relevant information
  • Ability to take fast and accurate notes and dictation
