Job overview

Applications are invited for the position of B3 0.60 wte Orthoptic Assistant.  This post is mainly administrative with some clinical work - ratio 9 admin: 1 clinical. You will be working in conjunction with an experienced B3 1.00 wte coordinator, duties will be coordinated between the post holders.

You will be joining our diverse team of 13 orthoptists, 1 orthoptic assistant, an Orthoptic administrative assistant and clinic coordinator – also working closely with 2 paediatric Consultant Ophthalmologists.

We are looking for dedicated, enthusiastic and motivated applicants, capable of working individually and as part of a team. The post holder undertake a wide range of clinic coordination/administrative duties and some clinical support duties e.g. testing visions, instilling drops (training provided).

The post holder will act as a focal point for issues relating to the management of Orthoptic & Paediatric Ophthalmology clinics, developing close links with Orthoptic Administrative assistant, medical secretaries, clinicians and Orthoptic Leadership Team.

Main duties of the job

  • To work as an integral member of the Orthoptic team assisting all members of the orthoptic team, to ensure that the patient’s journey, from referral to follow up is effective and efficient. This will include varied administrative duties, word processing, answering telephone enquiries, co-ordination including organisation and implementation of processes of out-patient waiting lists, making / altering appointments and supporting other members of the Orthoptic team. It will include the use of all Trust systems including Medway, choose & book, Medisec, Savience and Opera ensuring safe data quality collection.

  • To communicate effectively between the multi-disciplinary team including clinicians, management teams and outside agencies including clinics, schools and optometrists as well as patients and their carers.

  • To organise waiting lists, clinics (including community clinics), appointments and timetables to ensure Trust and departmental targets and standards are met and maintained.

  • To assist the management team in maintaining and ordering stocks and supplies, using the ELFS system for ordering and GRNing.

  • To be competent or to undergo training to become competent in other orthoptic related technical roles to support the orthoptic service e.g. checking visual acuity, instilling eye drops, performing additional tests to document ocular motility defects/ visual field defects/ OCTs and other diagnostic tests
