Berkshire and Surrey Pathology Services (BSPS) is a large and well-regarded pathology network operating across 5 partner trusts; Ashford and St Peter's Hospitals, Frimley Health, Royal Berkshire and Royal Surrey NHS Foundation Trusts and Surrey and Sussex Healthcare NHS Trust. We provide essential laboratory diagnostic services to our hospitals, to national screening initiatives including the NHS Cervical Screening Programme and NHS Bowel Cancer Screening Programme and to private and specialist organisations.

BSPS currently has over 1200 full time equivalent staff working across our network, each employed by one of our 5 partner trusts. The new post of HR Administrator- BSPS will play an important role in supporting our People and Culture Strategy, helping to deliver the best possible working environment for our colleagues, and in turn, the best possible experience for our patients.

This is an ideal opportunity for someone looking to progress in their HR career. Reporting to BSPS's Head of HR, you will support essential business activity and have the opportunity to contribute to a variety of people-focused projects to support recruitment, retention and staff engagement.

The HR Administrator-BSPS will provide full administrative support to the Head of HR-BSPS.

We are looking for a confident and enthusiastic team-player, who can work with all levels of staff and managers, in a busy and dynamic healthcare environment.

Administrative experience, a keen eye for detail and excellent organisational skills will be necessary to support a schedule of meetings, where you will take minutes and track actions. You'll also keep BSPS HR information up to date on our Future NHS webpage.

You will need to be comfortable handling data, using software such as Microsoft Excel, as well as being familiar with key HR performance metrics such as turnover, sickness absence rates and appraisal compliance. A significant part of the role will be to regularly collate and montor this information across our workforce, and to support with the review and presentation of annual NHS Staff Survey results and Equality, Diversity and Inclusion statistics.

Adaptability will be essential, to support the Head of HR-BSPS with a range of HR projects, which might include drafting and updating employee handbooks, researching best practice initiatives or setting up staff workshops.

The post holder will:

- Be responsible for providing comprehensive administrative human resources support to the Berkshire and Surrey Pathology Services (BSPS) network.
- Work collaboratively with colleagues and managers from across BSPS's partner trusts to facilitate the smooth and effective running of BSPS's HR function.
-Support and enable the delivery of the BSPS People and Culture Strategy.

KEY RESULT AREAS

1. Timely collation of HR data from across the partner trusts.
2. Provision of full administrative support to the BSPS HR Group and BSPS People & Culture Committee.
3. Keeping information held in management information portals up to date and easily accessible.
4. Co-ordination of straightforward HR projects.
5. Provision of straightforward HR advice and signposting.

MAIN DUTIES AND RESPONSIBILITIES OF THE POST
People Management and Leadership

1. Facilitate the smooth running of the BSPS HR function, supporting the delivery of the BSPS People and Culture Strategy.
2. Provide straightforward HR advice on matters relating to policy and terms and conditions of employment, signposting staff and managers to relevant experts within BSPS and its partner trusts, as appropriate.
3. Co-ordinate straightforward HR projects, supported by the Head of HR- BSPS.
4. Participate in job evaluation processes, including job matching and consistency checking and advise managers on best practice when writing or amending job descriptions and person specifications.
5. Support workforce planning initiatives across BSPS sites.
6. Undertake research into HR best practice, under the direction of the Head of HR- BSPS.

Financial Management

1. Liaise with BSPS and/or trust colleagues, as appropriate, to facilitate the raising of purchase orders associated with BSPS HR work.

Communications and Engagement

1. Build and maintain positive relationships with BSPS managers, supporting them in the provision of best practice people management.
2. Build and maintain positive relationships with trust colleagues across the full range of HR services, including recruitment, employee relations, payroll, workforce information, learning and development and wellbeing.
3. Maintain up to date contact details to facilitate appropriate signposting to trust HR teams when required.
4. Contribute to information and resources for BSPS managers and staff held on web portals (e.g. FutureNHS) or equivalent platforms, ensuring that this is kept to date and relevant.

Planning and Organising

1. Provide full administrative support to the BSPS HR Group and BSPS People and Culture Committee, including coordination of meetings, preparation and distribution of papers, formal minute taking and action tracking.
2. Assist with diary management and coordination for the Head of HR- BSPS, when required.
3. Develop and maintain a calendar of significant events (e.g. deadlines for internal and external award nominations and national days/months celebrating diversity and inclusion) to inform communications in support of the NHS People Promise and BSPS People and Culture Strategy.

Policy and Service Development

1. To highlight trends, or any areas of concern from HR data, staff or manager feedback and any other relevant source to the Head of HR- BSPS, recommending and taking forward appropriate actions.
2. Track actions arising from the BSPS HR Group, BSPS People and Culture Committee and other relevant forums, following up on deadlines which have not been met and escalating to the Head of HR- BSPS, as appropriate.
3. Contribute to the development of the BSPS People and Culture Strategy and policies, implementing administrative HR policies as appropriate.

Information and Reporting

1. Timely collation of monthly HR KPI data from all partner trusts into standardised reports for the BSPS Executive, BSPS HR Group and BSPS People and Culture Committee. This may involve the use of softward such as Microsoft Excel and Microsoft Power BI.
2. Collation and straightforward analysis of additional HR data, including employee relations activity, annual andad hoc staff survey results and equality, diveristy and inclusion statistics.
3. Actively contribute to the development and review of workforce information and productivity measures and ensure their use in all aspects of HR management.
4. Formal note taking and transcription for the monthly BSPS HR Group and quarterly BSPS People & Culture Committee.
5. Note taking for investigatory meetings or employee relations hearings, as required.
6. Undertake, participate in, and develop appropriate audits and quality assitance programmes as required.

6. Monitor quality of own work to ensure that the required standards of performance are met.
7. To support the department and organisatio by carrying out any other duties that reasonably fit within the broad scope of a job at this grade and type of work.
8. To be familiar with and comply with all Trust and departmental policies, procedures, protocols and guidelines.
9. To be aware of and work towards the Trust's strategic goals.
10. To fully participate in one-to-one meetings and own PDR/appraisal process.
11. Ensure continuing personal and professional development, taking ownership and accountability for staying up to date.
12. Support the implementation of the Trust Diversity and Inclusion Strategy.
13. Any other duties commensurate with band and status
