Job overview

An exciting opportunity has become available for a Rota Coordinator to assist and support the Emergency Medicine Team at Ashford and St Peter’s Hospital.  

Main duties of the job

The successful candidate will be expected to provide an efficient and effective service in a pressured environment. The postholder will work closely with the Junior Doctor Rota Supervisor, Management Team, Junior Doctors and Consultants developing the rota and maintaining on a daily basis.

The ideal candidate will have excellent communication skills and proven administrative experience, including keyboard skills and experience of Microsoft Word, Excel and database systems. Candidates will also need to demonstrate a high degree of attention to detail and have the ability to prioritise their workload in order to meet tight timescales.
Previous experience with rota coordination, working in a Workforce Department or working with senior medical staff and Doctors is desirable although not essential.

Detailed job description and main responsibilities

Recording absence levels for Doctor’s & Locums within the Emergency Department.  This includes reviewing annual leave, study leave and sickness, reporting abnormal levels to the Assistant Service Manager or the Clinical Lead.

Development and management of the Medical Daily Department Rota.  Making adjustments on a daily basis depending on the staffing levels for that day.

Preparation and facilitation of the Junior Doctor Induction programme. 

Liaising with medical staff, Medical staffing and the Postgraduate Centre to help ensure contact details for Junior Doctors in training are up to date and kept in a central area within the department.

Liaising with the Medical Staffing Department, Service Manager and Clinical Lead to ensure that all medical staffing recruitment is identified.

Undertake ad hoc duties to support the Administration Team Leader to ensure high quality services are provided.

Qualifications

Essential criteria
  • NVQ Level 4 or demonstrable equivalent practical experience of working in an admin team setting
  • IT literacy specifically in Word, Excel and Outlook
