Temporary Staffing Booking Coordinator

Job overview

A fantastic opportunity has arisen for a Temporary Staffing Booking Coordinator to support our professional, fast paced Temporary Staffing Team.
The Temporary Staffing Team manage and assist with the booking of temporary workers into the electronic booking systems, providing the wards and departments with additional appropriately trained staff to support their required staffing levels. This is carried out across all staffing groups including Nursing, Allied Health Professionals, Medical and Administration (this includes Bank and Agency workers, bookings, queries and invoicing).

Please note this role will be based on site at the Royal Surrey, and the interviews will be taking place in person. 

Main duties of the job

•    Inputting and manipulating data from more than one database.
•    Organise data audits to provide assurance of information reported and make recommendations based on the audit findings.
•    Provide training to trust staff, managers, Staff Bank members and colleagues on the Allocate booking systems (Optima, Employee Online, LOOP, Staff Direct and BankStaff) and any other temporary staffing systems, to ensure bookings are advertised in a timely manner to encourage high bank staff fill rates on shifts.
•    Ensure all bookings/shifts are logged on the temporary staffing systems in a timely manner and in accordance with best practice.
•    Follow the correct procedure for onboarding agency workers within the Trust, ensuring correct compliance checks are carried out and clear communication is given to the agencies and departments.
•    Ensure all agency workers are working within the set rate caps, ensure the correct process is followed and a TWARF or MARF form is completed correctly.

Detailed job description and main responsibilities

This role will deliver an efficient, professional, and high quality temporary staffing service ensuring to provide a high quality and responsive service to Royal Surrey Trust and collaborative Trusts managers and employees, including compliance with required procedures, processes and standards.

This role will ensure the temporary staffing requirements are dealt with in a timely and cost effective manner by close liaison with the team, department managers and ward matrons, ensuring all flexible staffing requirements are documented as per Royal Surrey Trust and collaborative Trusts procedures and filled as appropriate via the rostering systems.

You will be accountable and to act as the first point of contact for all temporary staff and assist with any queries that may arise, such as booking/cancelling their shifts, pay queries, system issues or general enquiries.

Essential criteria
  • Educated to A Level / NVQ Level 3 standard or equivalent knowledge gained through experience
Desirable criteria
  • CIPD Qualification

Knowledge and Experience

Essential criteria
  • Demonstrable previous general administration experience within a busy office environment
  • Experience of dealing with confidential issues and providing a service to others
  • Ability to organise and prioritise own workload and to work under pressure and within agreed guidelines
  • Competent in Microsoft Office - Word, Outlook, Excel Spreadsheets, PowerPoint
  • Experience using e-bookings system
Desirable criteria
  • Previous experience working within the NHS
