Job overview

To provide clinical administrative support to the Practice Development Team, ensuring that Trust standards are adhered to in relation to all documentation and data input concerning staff training. 

Main duties of the job

  • to provide an administrative service to the PD Team.
  • To plan and organise own work schedule with use of appropriate planning aids, demonstrating good time management and ensure anticipated difficulties in meeting deadlines are promptly reported.
  • To obtain and organise information in support of own work activities, maintain confidentiality in accordance with organisation procedures. 
  • Answer queries from staff in a timely and professional manner. 
  • To promptly open incoming emails, escalating to relevant members of the PD team where necessary and appropriate. 

    To scan and upload relevant staff training documents into the appropriate files.

    ·         To share appropriate documents with departments and/or staff.

    ·         To develop and maintain effective working relationships with other staff in the department.

    ·         To adhere to Trust Values in promoting all aspects of care and standards.

    ·         To ensure all phone calls are dealt with in a professional and timely manner adhering to the local targets set by the department and Trust

    ·         To operate the various IT systems used to fulfil the role/department requirements.

    ·         To undertake photocopying/scanning duties as required.

    ·         To take minutes during Team Meetings and distribute accordingly.

    ·         To arrange meetings and meeting rooms as required.

    ·         To use IT software to arrange meetings and/or training and to inform attendees as appropriate.

Detailed job description and main responsibilities

·         To provide an administrative service to the Practice Development Team.

·         To plan and organise own work schedule with the use of appropriate planning aids, demonstrating good time management and ensure anticipated difficulties in meeting deadlines are promptly reported.

·         To obtain and organise information in support of own work activities, maintain confidentiality in accordance with organisation procedures.

·         Answer queries from staff in a timely and professional manner.

·         To ensure that secure systems are in place for the storage of all resources including computerised information.

·         To promptly open incoming mail, escalating to relevant members of the practice development team where necessary and appropriate.

·    To scan and upload relevant staff training documents into the appropriate files.

·         Set up and maintain effective filing, bring forward and retrieval systems.

·         To develop and maintain effective working relationships with other staff in the department and the Trust ensuring a professional and seamless service is provided.  In particular this will require regular liaison with various departments.

·         To adhere to Trust Values in promoting all aspects of care and standards.

·         To ensure all phone calls are dealt with in a professional and timely manner adhering to the local targets set by the department and Trust

·         Provide cover for other staff within the team who are on leave or out of the office.

·         To operate the various IT systems used to fulfil the role/department requirements.

·         To undertake photocopying/scanning duties as required.

Person specification

Qualifications

Essential criteria
  • Good education to GCSE standard or equivalent experience
  • ECDL or equivalent
  • NVQ Level 3 Administration or equivalent practical knowledge

Experience

Essential criteria
  • Experience of working in an office environment
  • Competent with current software programmes (i.e. MS Word, Excel, PowerPoint)
  • Experience of working within a team environment
  • Minute Taking
