Job overview

We are looking for an experienced Senior Administrator to join our well-stabilished team in our busy office in Guildford, following administrative processes for tasks supporting our AEDS clinicians and service users. You will support the team in general administrative work such as dealing with telephone enquiries from service users, making appointments and supporting the day to day running of the service.

In addition, you willl be expected to support the team with tasks such as formatting reports, populating and managing spreadsheets, processing referrals and supporting the Lead Administrator and the Service Manager with any ad hoc tasks. You will need to have a keen eye for accuracy and be competent in all aspects of Microsoft office.

The post is substantive (1 WTE) and the successful applicant will be joining a team of 3 other senior administrators. The post holder will be joining what are well-established outpatient and day care facilities for working age adults with more severe eating disorder presentations. They will be joining a warm and welcoming team with a passion for the delivery of high-quality care.

The post holder is expected to act on their own initiative on a daily basis to ensure the effective running of the service, prioritising their own workload as required. This is a key role within a developing service and the job requires a high degree of flexibility in response to workload agendas.

The post holder is expected to liaise effectively and professionally with all levels of staff, external organisations and the public, dealing with confidential information in an appropriate manner.

Detailed job description and main responsibilities

Key Responsibilities

  •  Responsible for providing confidential administrative support to the team, including the organisation of meetings/events and assisting in admin recruitment processes.
  • Deal with the day-to-day demands on the Department and aim to resolve any problems, whilst using own initiative to ensure that urgent matters are dealt with proactively. 
  • Co-ordinate team rotas (ie RKA, Urgent Assessments, Duty Rotas, etc).
  • Submit Off-Boarding and On-Boarding forms for new staff.
  • Prepare documents for Assessment/Physical Health Clinic, to prepare blood forms and ECG request ahead of clinic.  Update and maintain spreadsheet. Liaise with admin team. Managing the Waiting List for Assessment and Treatment .

Person specification

Qualifications required

Essential criteria
  • NVQ Level 4 in Business Admin or equivalent experience (4 years)
  • Good working knowledge of administrative and secretarial processes e.g. electronic filing systems and formatting documents/reports
Desirable criteria
  • Previously worked for the NHS or Private Healthcare on a similar role

Experience Required

Essential criteria
  • Minimum three to four years’ experience working with Microsoft Office including Word, Excel, PowerPoint, Outlook and Microsoft teams.
  • 4 years’ experience of clerical and administrative work requiring a high degree of accuracy and working in accordance with policies/procedures
Desirable criteria
  • Experience handling confidential information
