An exciting opportunity has arisen to join the Home Safe & Short-Term Support Service Administration Team. The successful candidate will work between sites at Northumbria Specialist Emergency Care Hospital and other trust sites. The core hours worked between 09:00 - 17:00 Monday to Friday pro rata, however these may be subject to change. 

You need excellent communication skills and resilience to clearly communicate verbally with members of the public where there may be barriers to understanding. MDT and team meetings take place regularly so the ability to undertake the typing of minutes as appropriate using PC based word processing and spreadsheet packages is essential. A knowledge of SWIFT, PAS, Nerve Centre and other IT systems would be beneficial however training would be given.

The successful applicant will undertake general office administration tasks, including filing. scanning, photocopying, and processing documentation into computer files. There is an expectation that you would provide relief cover for other members of the administrative team as appropriate. This may include travel to other sites within the locality.

Main duties of the job

The team is an MDT of Occupational Therapists, Specialist Nurses and Physiotherapist’s. The philosophy of the team is to facilitate safe and timely discharges from a hospital or Community setting and ensure care or support is put in place to maintain this. 

The successful candidate will provide a clerical and typing service, including maintaining databases and processing information.

To undertake telephone and reception duties for multi-disciplinary teams in an environment where interruptions are common place and sensitivity to callers needs are required.

To provide relief cover for other members of the administrative team as appropriate. This may include travelling to other sites within locality.

Detailed job description and main responsibilities

  • To assist in the general efficient running of sub-specialty offices including typing, filing, retrieval and storage of patient records, handling post and dealing with telephone enquiries.
  • To cover for other Band 2 Clerical jobs as required.
  • To act up to Band 3 for short-term absences e.g. annual/sick leave.

Qualifications

Essential criteria
  • Educated to GCSE level or equivalent in three subjects including English and Mathematics Grade A-D or equivalent experience to demonstrate good numeracy or literacy skills
  • NVQ Level 2 in customer care/admin or equivalent experience
Desirable criteria
  • RSA 3/OCR (or equivalent)
  • Knowledge of Medical Terminology & procedures
  • ECDL
