Job overview

We are seeking to appoint a highly efficient and motivated team player to take up a 12-month secondment position commencing September 2024 of Executive Assistant covering maternity providing professional, confidential support to the Chief Operating Officer, ensuring a high level of efficiency and communication, contributing to the smooth running of all aspects of service delivery. Working in a fast-paced environment you must have the ability to work under pressure, have a flexible approach to working and the ability to manage conflicting demands.  

The postholder will have previous experience of formal minute taking, excellent writing and communication skills as well as sound administration skills, works well within a team environment, good interpersonal skills and is able to work in a confidential and sensitive manner.  Convene and coordinate administrative support for meetings and events including arranging venues, catering, provision of briefing material and supporting papers, taking and distributing minutes and follow up actions in a timely manner.

Main duties of the job

To support the smooth running of the Trust Board and formal sub-committees through provision of professional, timely, effective and efficient committee service and administrative support to the Trust Executive Directors.

To be responsible for the overall administration of a number of Trust wide Corporate meetings and supporting constitutional committees including co-ordination of yearly plan of meetings, booking venues, preparation of agenda/supporting papers, taking minutes and taking relevant follow up action.

The post holder will play a key role in communication between the Trust Board Members and Executive Directors including other Directors and senior managers of the Trust.

The post holder will work in close collaboration with members of the Trust Executive Teams, the Chairman, Non-Executive Directors and Council of Governors.

Responsible for organising and administering Trust Board and Sub-Committees.

Education and Qualification

Essential criteria
  • Recognised secretarial qualification or have an equivalent portfolio of experience.
  • NVQ Level 4 or have an equivalent portfolio of experience.

Knowledge and Experience

Essential criteria
  • Degree level knowledge or equivalent experience.
  • Extensive secretarial experience at Executive Director level.
Desirable criteria
  • Experience in NHS environment
