Probationary Period

All new staff to the Trust will be subject to a standard 6 month probationary period, the details of which will duly follow in your contract of employment.

Job overview

Coventry Family Health & Lifestyles Service for Health Visiting are seeking a current Band 3 within our service to join our fantastic team of Senior Clinic Assistants.

The primary responsibilities involve a range of administrative and clerical duties as delegated by the Clinical Lead and Health Visitors. The role will be for Team 1 covering the Radford, Holbrooks and Bablake areas of Coventry. Core working hours are from 8-5 Monday to Friday as this is a part time post hours and working pattern can be discussed.

We will be looking for someone who is well organised; demonstrates good communication skills; can demonstrate computer and telephone skills; demonstrates an understanding of the importance of effective team working and understands the importance of confidentiality.

Detailed job description and main responsibilities

Main Responsibilities

To supervise the Clinic Assistants across the team.

To be aware of, and work alongside, local Trust and National guidelines and policies.

To ensure systems and processes are in place to support the Clinical Lead to manage the team.

To work effectively as a team member, accepting delegated duties from the Health Visiting Clinical Lead.

Inputting information to the Health Roster system for staff in the teams, including annual leave, sickness absence & training.

Ordering stock and stock control.

To support the team data collection by developing spreadsheets and databases to collect and collate information.

To be proficient and experienced with various IT systems, including Internet, Microsoft Programmes to include excel and with the skills and willingness to train on other IT programmes including Electronic Patient Record systems, Outcome Star Database and EHM Early Help System.

To maintain and administer departmental databases for Outcome Stars by inputting and retrieving information into the Outcome Star Database.

Work with EPR leads within the service to optimise processes directly related to or linked to the EPR, to include supporting staff with implementing these. This may include appointment booking, recording of contacts, or allocation tools.

Monitoring and assisting with relief cover at other venues.

To develop own knowledge and competence.

The post-holder may be involved in suggesting service changes, which may apply to departmental or service wide.

Use of Lorenzo to maintain children’s health records.

Participation in the induction of new staff.

Be able to travel independently to and from clinics and other bases.

Use a Visual Display Unit (VDU) frequently to ensure records are maintained.

 

Knowledge, Skills and Experience

The post-holder must act independently to delegate duties.

The post-holder will receive supervision from the Health Visitor Clinical Lead and should be aware they can approach any team member for support and advice.

Keyboard skills are a requirement of the role.

The post-holder must be able to prioritise competing demands.

The post holder will be organised and have the ability to coordinate across multiple teams and sites, as well as diary management responsibilities.

To ensure the provision of accurate data for statistical and planning purposes as requested.

To undertake some filing in client records as requested to support the Clinic Assistants.

To take and record accurate messages in an agreed approach. Checking documents, such as client records, staff information, opening post, data collection and inputting.

Analyse statistics or carry out calculations relevant to the service.

 

Measurable Result Areas

The post-holder will be responsible for monitoring office stationery and clinic supplies and requesting replacements authorised by the Clinical Lead, as well as being responsible for receiving the goods.

The post-holder will be responsible for co-ordinating calibration of all equipment used within the team.

The post holder will organise and deliver effective clerical support to the Health Visiting Clinical Lead.

The post-holder will be required to use a computer, either stand alone or as part of a networked system, and will be responsible for the quality of information. The amount of time spent on this type of work will vary.

 

Communications and Working Relationships

With Health Visiting Team, Clients, Families, other agencies.

May be required to communicate basic, sensitive, complex and contentious information.

The post-holder may be required to communicate where there may be language barriers.

Dealing with enquiries both on the phone and through written communication.

The post holder will be required to greet other professionals coming into the department, such as commissioners, partners, staff and clients.

Maintain confidentiality in line with the Trust policy.

Qualifications

Essential criteria
  • Good level of general education including English and Maths at GCSE/O Level
  • Evidence of Information Technology (UT) related skills
  • Possesses a European Computer Driving Licence (ECDL)
  • NVQ 3 In Business Administration or NVQ 2 with relevant experience
