Job overview

We are looking to appoint a motivated and enthusiastic person who has excellent  organisational, administrative and interpersonal skills, and a high level knowledge of Microsoft Office software, i.e. Outlook, Word, Excel, MS Teams etc.

The main requirements of the role will be to ensure delivery of a comprehensive, high quality supervisory and administrative service to the the admin team, including diary management, meeting preparation and formal minute taking, typing/word processing of letters, reports, and other correspondence.

Essential educational, skills, knowledge and experience requirements are detailed in the Job Description and Person Specification. This is a very busy role and the successful candidate will need to be able to work without direct supervision to meet challenging demands and should be able to evidence their experience of working in a similar role.

This role is a Fixed Term Contract for 37.5 per week, working Monday-Friday between the hours of 0800-1700. The post holder will need to be flexible as they may be required to undertake cross site working to cover annual leave/sickness to meet the needs of the service.

This post will be to support two admin location teams, Tile Hill Health Centre (CV4 9PN) and Willenhall Primary Care Centre (CV3 3DG). 

Main duties of the job

The overall activities of the post-holder will include:

  • · Responsible for the effective and efficient delivery of a comprehensive administrative support service across all Community Services.
  • · Responsible for the supervision of Band 2 and 3 Admin Support staff
  • · Establish and maintain agreed systems for effective record keeping including collation and submission of timely statistics
  • · Provide flexible administrative and clerical cover as required. This might occasionally involve working at another base in the local area during cross cover arrangements

  • Excellent interpersonal skills and able to communicate a range of complex or sensitive information effectively with staff, service users and stakeholders for example face-to-face, via telephone and email 
  • Exercise confidentiality; be sympathetic and sensitive to the requirements of staff, service users and stakeholders when communicating by telephone or face to face, including dealing with a difficult situation, e.g. aggressive or demanding behaviour.
  • Provide effective problem solving both face to face and via telephone
  • Negotiate effectively 
  • Communicate work procedures, motivating staff to achieve objectives
  • Attend admin team / departmental meetings on a regular basis and contribute to building effective teamwork in exchanging views and ideas and communicating effectively.
