Band 3 Team Secretary:  22.5 hrs/week

Working hours – 9am to 5pm, 3 full days between Monday to Friday

Our Leamington base within St Mary’s Lodge/Yew Tree House support Community Adult Mental Health Services delivering clinical out-patient and home treatment care to the local Warwickshire communities.

Who we’re Seeking:  We’re looking for applicants with previous admin experience to join our current admin team in providing a secretarial service to clinical teams, supporting the growing demand for provision of care within adult mental health services. 

We are looking for applicants who are friendly and approachable with effective communication skills, who can build good working relationships within a fast-paced environment.  As well as being a team player, we seek applicants who can demonstrate sensitivity/confidentiality due to the nature of the service and able to work autonomously with a flexible approach and strong work ethic to prioritise and multi-task.

Main duties of the job

The Job Role:  You will provide a comprehensive and accurate administrative and secretarial service for the clinical/medical teams.  This will include production of letters using digital dictation (Bighand),  e-mail communication, booking/rescheduling patient appointments, accurate data inputting onto electronic patient records system (CareNotes), scanning, printing, uploading, answering of complex telephone queries and possess the ability to exercise judgement and work unsupervised to meet deadlines. 

The role includes supporting the Medical Secretaries and providing cover in their absence, as well as working flexibly with other admin colleagues to provide cross cover for a busy outpatient’s reception as necessary.

Detailed job description and main responsibilities

Skills and Experience:  Knowledge and experience of Microsoft Office systems is essential whilst training will be provided for in-house systems such as Carenotes, Big Hand dictations, etc.  Previous administration/secretarial skills required along with excellent communication and IT skills.

This role is based at site and due to the service being spread over a number of sites across Coventry and Warwickshire, you may be required to travel to support service delivery, or attend training, for which travel expenses would be paid.

  • Good General Education (eg. GCSE English and Maths A-C)
  • QCF Business Administration Level 2
  • QCF Customer Service Level 2
  • Excellent communication / customer care skills both written and verbal demonstrating sympathy and compassion
  • Advanced keyboard / IT skills Including audio typing
  • Ability to manage and prioritise own and other’s workload and use own initiative
  • Good time management skills
