Job overview

An opportunity has arisen in the Acute Service based at Mill View Hospital . We are looking to recruit a highly motivated and enthusiastic individual to join our team.
The post is to provide administrative support to the clinical team on the ward. The post holder will be highly organised and will need to provide an accurate and timely administrative service.
The successful applicant will be required to demonstrate that they have the  relevant experience, good organisational skills, have an excellent telephone/communication manner and an understanding of confidentiality. They must be able to work well independently, manage changing demands and priorities and also be able to work effectively as part of a team.
They will also need to be an effective communicator when dealing with service users, carers and health and social care professionals. We are looking for a person who has initiative and strong values, is people focused.

Main duties of the job

We are looking for a motivated and enthusiastic person who has:

    • Planning and organisational skills;
    • Ability to work on own initiative as well as works well in a team
    • Has good PC skills: - experience of Microsoft Office, including but not exclusively Microsoft Outlook, Word and Excel
    • Has excellent written and verbal communication skills and a pleasant telephone manner
    • Helpful and flexible attitude is essential
    • Has good interpersonal skills and is able to work in a confidential and sensitive manner.

You will be provided with training and development opportunities and regular supervision.

Detailed job description and main responsibilities

To provide full administrative support to the Clinical multidisciplinary team working in the ward environment
Ensuring availability of all forms of documents both paper and electronic required by the team. 
Answering the ward phones
Liaising with both internal and external agencies
Maintaining information on the trust clinical systems 
Supporting other administrators working in the team when required

Qualifications

Essential criteria
  • NVQ 3 or equivalent qualifications
  • Good standard of secondary education; GCSE at Grade C or above or equivalent

Knowledge/Experience

Essential criteria
  • Proven experience of a range of administrative procedures
  • Experience of producing documents to a high standard of presentation with good accuracy
  • Experience of developing, managing and maintaining office information systems
  • Experience of working as part of a team
