Job overview

The role will provide clerical, administrative and organisational support to the Clinical Research Team at Bradford Teaching hospitals, working closely with the Research Matron, Clinical Nurse Manager for the Patient Recruitment Centre, Clinical Research Nurses, Midwives and Support staff across the research specialties in the Trust. 

Main duties of the job

The post holder will be part of the cross-specialty research team and will work alongside the Research Matron to support with the coordination and organisation for the wider workforce. 

 

They will be responsible for administrative tasks such as:

  • Organising meetings, sending invitations, collating attendance, taking, typing up and distributing minutes,
  • Preparing documents
  • Maintaining databases and records e.g. records of training
  • Planning for events
  • Communication with other departments in the Trust
  • Distribution and coordination of the PRES (Patient research experience surveys)

Detailed job description and main responsibilities

·         Provide efficient administrative support to the Clinical Research Team, including taking minutes, typing correspondence, post, filing, photocopying, laminating, arranging meetings, etc.

 

·         Assist with the development of filing systems and archiving procedures.

 

·         Be responsible for inputting data onto departmental database systems.

 

·         Be expected to arrange and plan their own work on a day-to-day basis within the overall demands and priorities of the department.

 

·         Routine admin duties e.g. photocopying, laminating, filing, receiving visitors, dealing with telephone calls, messages, making diary appointments, as required.

 

·         Generate letters emails and send questionnaires, reminders etc.

 

·         Maintain records and logs such as training records, meeting attendance etc.

 

·         Attend training sessions as required.

 

·         Liaise with all relevant research staff.

 

·         Coordination of the PRES (Patient Research Experience Survey)

 

·         Undertake any other duties that are commensurate with the banding of this post.

Essential criteria
  • General office experience working on data entry, administration duties, filing, photocopying, answering telephone
  • Experience of working in a team, responding to competing demands
  • Experience of working to tight deadlines
Desirable criteria
  • Experience of working in an NHS environment or within a research environment

  • Good oral and written communication skills
  • Excellent administrative skills, including familiarity with email, word-processing and databases
  • Able to work without daily supervision
  • Excellent organisational skills
  • Ability to interpret written procedures and record/enter information accurately
  • Ability to summarise complex information onto spreadsheet
  • Ability to work to frequent deadlines

Knowledge

Essential criteria
  • Understanding of Information Governance and Confidentiality
  • Knowledge/experience of admin procedures, IT systems to diploma level equivalent
Desirable criteria
  • Basic knowledge of research in the NHS

Qualifications

Essential criteria
  • GCSE level or equivalent including English at grade C or above
  • Knowledge of a range of software programmes, admin procedures acquired through formal training i.e.RSA level 3 or NVQ3 or equivalent experience
