Job overview

The Team Leader is responsible for ensuring that a high standard, comprehensive, day to day support service is provided within each specialty in the Head & Neck admin hub.  This includes the supervision of the administrative hub with the responsibility for assisting the Surgical Admin Manager in overseeing the support framework within all areas across the Service to ensure that all service users & stakeholders and their teams are supported to a high standard at all times. 

The post holder will be responsible for running a safe and quality administration service that supports the medical and nursing staff.

Main duties of the job

To support the Surgical Administration Manager and Patient Service Managers in the day to day running of a specialty administration team.

To work as medical secretary as part of the administration team and provide a comprehensive administrative service to the consultant workforce.

Detailed job description and main responsibilities

The Team Leader is responsible for assisting their line manager to ensure that a high standard comprehensive day to day support service is provided within each team. This includes the supervision of a team of secretarial and administrative staff and responsibility for assisting their line manager in overseeing the support framework within all areas across the service to ensure that all Consultants and their teams are supported to a high standard at all times.

Person specification

Qualifications

Essential criteria
  • English and Maths GCSE grade A-C or grade 9-4 or equivalent qualifications
  • RSA/OCR III Word processing or equivalent
  • Medical terminology certificate or knowledge of medical terminology
Desirable criteria
  • ECDL Qualification or equivalent
  • ILM Qualification (level 3) or equivalent
  • Business Administration level 4 or equivalent
  • RSA/OCR III Audio typing or equivalent

Experience

Essential criteria
  • Admin/Office experience supporting senior management functions i.e. diary management, electronic filing systems, meeting prep, minute taking, collating and presenting information etc
  • Experience of staff supervision and workload management
  • Experience of providing administrative or secretarial support
  • Experience setting up and maintaining admin systems & processes
Desirable criteria
  • Thorough understanding of NHS performance targets
  • Experience of conducting appraisals /PDR's
  • Experience of dental/orthodontic terminology

Knowledge

Essential criteria
  • Working knowledge of hospital systems (SystmOne/CERNER)
  • Working knowledge of RTT and waitlist management
  • Competent in Microsoft office software or equivalent admin programs
  • BigHand or other Audio Typing software
Desirable criteria
  • Knowledge of NHS HR policies and procedures
  • Staff supervision and management

  • Ability to work autonomously and proactively
