Job overview

To facilitate the delivery of high quality care by ensuring efficient running of the appointments system in the Pre-operative Assessment Unit and to assist in ensuring that electronic waiting lists using the computer systems are updated accordingly in conjunction with all Clinicians and Managers.

This position is not currently eligible for a certificate of sponsorship in line with Home Office guidance as it does not appear on the skilled worker visa occupation list.

Main duties of the job

To provide administrative support relating to the appointment and reception services for the Pre-operative Assessment Unit and ensuring all clinics are prepared to the highest standard

  •  Liaising with nursing staff, consultants, secretarial and other disciplines.
  •  Adhering to Trust and departmental standards.
  • Inputting computer transactions to ensure correct appointment bookings.
  • Inputting accurate information about clinic attendances.
  • Greeting patients.
  • Booking patients into clinic and inputting appropriate computer information.
  •  Arranging return clinic appointments if necessary.
  •  Update the relevant consultant’s waiting list.
  •  Assisting patients with general enquires.

Detailed job description and main responsibilities

Help patients, relatives and colleagues by dealing with telephone and face to face enquiries in a constructive and sympathetic manner, tact may be required for situations where it is necessary to communicate unwelcome information.

 To ensure all necessary medical records where appropriate are obtained both internally and from other providers and prepared for clinic appointments in accordance with clinic requirements in a timely manner.

 Protect patient privacy by ensuring that all data and information relating to them does not pass to unauthorised individuals or organisations by ensuring it is held in the strictest confidence.

Responsible for booking and monitoring patient transport as required in line with NHS and Trust policy.

 

Provide accurate clinic information regarding bookings and waiting times from the PAS system as required. Including where required the provision of additional adhoc data and reports for managers, supervisors and consultants.

Provide cross cover within as required for planned and unplanned leave as necessary, within the areas of Ward 20/Theatres/Procedure Suite/Dales Suite.

 Ensure the effective and efficient running of the department by managing own workload, working on own initiative and planning and prioritising as necessary, act independently, deciding when necessary to refer to the appropriate Supervisors / Managers.

Attend individual staff development reviews in which training and development needs will be identified and planned, also to ensure that you attend mandatory training as directed by the Speciality Admin Manager.

Undertake any other duties as directed by the Speciality Admin Manager or Supervisor/Senior Administrator for the successful performance of the role.

Qualifications

Essential criteria
  • GCSE (or equivalent) in Maths / English
  • OCR 2 word / text processing certificates or equivalent experience
Desirable criteria
  • NVQ level 2 in Customer Care/ Business
  • Administration/ Office or equivalent

Experience

Essential criteria
  • Experience of working in a busy office environment
  • Dealing with the general Interview / Application form public
Desirable criteria
  • NHS / Health care background
  • Use of health systems (SystmOne)

Knowledge

  • Understanding of office environment / practices
